The Business Operations & E-Commerce Associate will support core business operations while helping manage Amazon Seller Central and related e-commerce workflows, including product listings, order management, inventory, fulfillment, customer experience, reporting, and marketplace compliance.The role works closely with leadership and cross-functional partners across sales, marketing, finance, customer service, and logistics to solve problems, improve processes, and ensure deadlines and customer commitments are met. This person will also coordinate with outside vendors, freight partners, and our third-party logistics provider as needed.The ideal candidate is dependable, detail-oriented, resourceful, and able to work independently while remaining a collaborative member of a small team. A roll-up-your-sleeves mindset, strong follow-through, and a genuine interest in helping a growing company operate efficiently are essential.
Key Responsibilities
The following responsibilities represent the core areas of the role. As with most positions in a growing company, additional tasks may arise in support of the team and the business.Amazon & E-Commerce Marketplace Management
- Manage and optimize day-to-day Amazon Seller Central operations, including inventory, product listings, pricing, promotions, marketplace health, and accurate product information.
- Support the launch and ongoing management of international Amazon markets, and stay current on Amazon policies, platform updates, industry trends, and e-commerce best practices.
- Monitor sales, conversion rates, customer feedback, competitor activity, pricing, and reviews; identify trends and turn performance data into practical recommendations.
- Partner with marketing, sales, and customer service to improve product visibility, discoverability, conversion, revenue growth, and customer satisfaction across Amazon and other e-commerce channels.
- Support related platforms and systems, including Shopify and Walmart, and help keep product, inventory, order, and customer information accurate across channels.Sales Support & Customer Service
- Manage end-to-end sales support for specialty, wholesale, retail, and direct-to-consumer orders, including order entry, processing, shipment coordination, post-sales inquiries, and issue resolution.
- Monitor MarketTime, QuickBooks, Shopify, and other order-management systems for new, open, or unshipped orders; follow through to help meet customer delivery dates.
- Provide timely order and shipment updates, including tracking and projected delivery dates, and resolve customer concerns with professionalism and a solutions-oriented approach.
- Create, maintain, and update a customer service log for inquiries, actions taken, and resolutions, and calculate and validate quarterly sales representative commission reporting.Fulfillment, Shipping & Inventory
- Coordinate daily fulfillment through our third-party logistics provider and on-site inventory, including preparing, processing, packing, and shipping customer, website, and Amazon orders when needed.
- Follow up on daily shipments, confirm orders are processed on time, track packages in transit, and work with carriers or freight partners to resolve delays and undelivered shipments.
- Maintain visibility into inventory across Amazon, Shopify, the 3PL, and on-site stock; assist with inventory reconciliation and provide regular reporting to leadership and the CFO.
- Document and process returns, restocking, claims, and related follow-up accurately and efficiently.Business Operations & Project Coordination
- Support daily operational activities, scheduling, logistics, and cross-functional projects, while tracking tasks, deadlines, dependencies, and follow-ups to completion.
- Collaborate with team leaders and department partners to understand needs and goals, address operational challenges, and maintain alignment across finance, marketing, sales, and customer service.
- Prepare reports, compile information for management or external partners, maintain ongoing KPI tracking, and support basic bookkeeping and data-entry needs.
- Help identify cost-saving opportunities, support budget-focused projects, manage office supplies and equipment needs, and perform general administrative tasks such as answering phones and scheduling meetings.Process Improvement, Documentation & Systems
- Observe, review, and analyze processes to identify inefficiencies, risks, and opportunities for improvement; develop and maintain clear operational workflows and standard operating procedures.
- Create and maintain accurate records for operational activities, customer issues, projects, and key business processes, ensuring documents are organized and filed appropriately.
- Facilitate and track cross-channel feedback from customers and employees, and share relevant themes and recommendations with management and executive leadership.
- Leverage technology and software tools to streamline work, improve efficiency, and support data quality across the business.Administrative, HR & Technology Support
- Coordinate and maintain onboarding materials, handbooks, SOPs, and other internal resources in partnership with leadership.
- Support the development and maintenance of company policies, procedures, goals, and objectives, and help ensure activities align with company, industry, marketplace, and applicable legal requirements.
- Provide basic technology and systems support, including troubleshooting common issues, helping maintain Microsoft 365 tools on company computers, and coordinating team training when needed.Confidentiality & TrustThis role handles sensitive customer, financial, operational, personnel, and marketplace information. The Business Operations & E-Commerce Associate is expected to exercise sound judgment, protect confidential information, and act with professionalism, discretion, and integrity.Qualifications
- 2+ years of relevant experience in business operations, e-commerce operations, customer operations, or a similar role; startup experience is strongly preferred.
- Demonstrated hands-on experience with Amazon Seller Central, including inventory, product listings, promotions, performance reporting, and platform policies.
- Experience with project coordination, inventory management, fulfillment or 3PL operations, customer service, and resource allocation.
- Working knowledge of QuickBooks, Shopify, and Microsoft Office; advanced Excel skills are required. Familiarity with Walmart Marketplace, MarketTime, and Google Workspace is helpful.
- Strong analytical, strategic-planning, and problem-solving skills, with the ability to interpret data and translate findings into practical next steps.
