Operations Manager
Puma In A Tank · Amsterdam, North Holland, Netherlands
Apply & track with Apply EdgeAbout Puma In A TankPuma In A Tank is an audience-first production company. We develop new entertainment IP (film and series) by building audiences alongside the stories themselves, learning what resonates with real audiences and scaling what works. We're an early-stage startup with a small, agile team that is willing to test new ways of operating. That means real ownership from day one, and processes that you'll often be the first person to build.About the roleYou will take over the day-to-day running of the company from our Head of Operations, owning everything operational that sits outside our creative and audience development work. You’ll report directly to the Head of Operations and act as the operational backbone of the company: the person who makes sure people get paid, deadlines get met, paperwork is right, and nothing falls through the cracks. As our second dedicated operations hire, you’ll inherit lightweight processes and part of the job is turning them into systems that scale.Core responsibilitiesFinancial operations — process and pay contractor and supplier invoices (multi-currency, international transfers), maintain budget and cashflow trackers, and keep clean payee records.Accountant relationship — manage our external accountants: prepare and hand over clean financial information, track compliance and filing deadlines, and act as the day-to-day point of contact.Contractor administration — draft and manage statements of work, onboard freelancers, and run payment schedules across our projects.Contracts & deal memos — draft and manage writer agreements and brief deal memos for the production side of the business, working from templates and coordinating with external counsel where needed.Process building — document and improve how we operate, so the company runs on systems rather than on any one person’s memory.Production operations — support our film projects with contractor coordination, cashflow tracking, and key external deadlines (e.g. festival and awards submissions).People operations — run hiring logistics (job ads, candidate correspondence, offers) and handle employment practicalities such as permits, internships, and cross-border employment questions.Documentation & admin — keep company documentation organised and findable across our systems (e.g. Notion, Google Workspace): contracts, hiring docs, payment records, meeting follow-ups, and key decisions.About you & must-havesYou’ve owned operations end-to-end somewhere small, and you’re comfortable being handed a broad, partly undocumented remit and making it run smoothly. You’re organised, direct, and happy switching between a payment run, a contractor agreement, and building a new process in one day.4+ years of operations experience, including some experience in a startup or small company with end-to-end ownership.Hands-on financial operations experience: invoice processing, international payments, budget tracking, and working with external accountants.Experience administering contractors and freelancers (agreements, onboarding, payments).Self-directed and comfortable with ambiguity — you build lightweight processes from scratch rather than waiting for them to exist.Hands-on with AI tools (e.g. Claude, ChatGPT, or similar) to optimise workflows — you actively look for ways to automate and streamline operational work rather than doing everything manually.A natural problem-solver who is able to work independently. You’re able to figure things out and get unstuck on your own but know when to ask for help instead of spinning your wheels.Excellent written English and meticulous attention to detail.Based in (or relocating to) Amsterdam with the right to work in the Netherlands.Nice to havesBackground in film, TV, or creative production (production management, indie film budgets, awards logistics).Exposure to Irish or Dutch company administration (filings, payroll, employment permits).A legal foundation. A law degree, paralegal training, or hands-on contract drafting experience, ideally with familiarity with Irish law or a similar common-law system. You don't need to be a qualified lawyer.Experience as a founder’s right hand — Chief of Staff and senior EA.Fluency with Notion, Google Workspace and Monday.com — our day-to-day systems.Note: Due to an overwhelming number of applications, we will close this job post EOD Monday July 20th 2026.
