We provide charter bus, motorcoach, minibus, and shuttle transportation services across multiple cities and states.Position SummaryFlash Limousine and Buses is seeking an experienced, hands-on Operations Manager to oversee our daily passenger transportation operations.Our operation currently includes approximately 45 vehicles, 50 professional drivers, and an 8-person operations and dispatch team. The Operations Manager will be responsible for coordinating drivers, dispatchers, vehicles, schedules, client requirements, service quality, and operational performance.This is not an entry-level management position. Applicants must have previous experience managing a bus company or a substantial motorcoach, charter bus, minibus, or shuttle transportation operation.The successful candidate must be highly organized, dependable, computer proficient, and able to make timely decisions. This position requires someone who takes ownership of operational matters and follows through until each issue is fully resolved.Work EnvironmentFlash Limousine and Buses operates in a fast-paced transportation environment where driver availability, vehicle assignments, schedules, and client requirements may occasionally change with limited notice.Most workdays follow an organized operating plan. However, occasional high-pressure situations may arise because of driver call-offs, vehicle problems, traffic delays, weather, client schedule changes, or other transportation emergencies.The successful candidate must be able to remain calm, organized, professional, and responsive while managing multiple priorities.Key Responsibilities
- Oversee daily motorcoach, charter bus, minibus, employee shuttle, corporate shuttle, airport transportation, event transportation, and contract shuttle operations
- Manage and support drivers, dispatchers, and operations personnel
- Review daily and upcoming schedules, routes, driver assignments, and vehicle assignments
- Confirm that every trip has the correct driver, vehicle, schedule, route, and client instructions
- Ensure that all trips begin on time and are completed according to client requirements
- Monitor active trips and respond promptly to delays, service interruptions, and operational problems
- Handle driver call-offs, vehicle breakdowns, last-minute schedule changes, traffic delays, and client emergencies
- Arrange replacement drivers and vehicles when necessary
- Maintain clear communication among drivers, dispatchers, mechanics, clients, and company ownership
- Work closely with the maintenance department to monitor vehicle availability and repair priorities
- Ensure that vehicles are properly inspected, clean, safe, and ready for scheduled service
- Monitor driver attendance, punctuality, professionalism, performance, and compliance
- Assist with driver recruitment, interviews, onboarding, training, coaching, performance evaluations, and corrective action
- Ensure that drivers understand company policies, client instructions, routes, and operating procedures
- Monitor Hours of Service, electronic logs, DVIRs, vehicle inspections, driver qualification requirements, and other DOT documentation
- Help maintain compliance with applicable DOT and FMCSA regulations
- Review GPS, camera, telematics, safety, and driver performance information
- Communicate with clients regarding schedules, service changes, complaints, and operational concerns
- Investigate service failures, accidents, complaints, delays, and preventable operational problems
- Monitor on-time performance, driver coverage, overtime, vehicle utilization, and client complaints
- Identify recurring operational problems and implement practical corrective measures
- Improve dispatching, scheduling, communication, and emergency-response procedures
- Coordinate transportation operations in Chicago and other cities where the company provides service
- Prepare and review operational reports
- Assist company ownership with staffing, fleet utilization, and operational planning
- Provide support for urgent operational matters outside normal office hours when necessaryComputer and Software RequirementsAdvanced computer and software proficiency is required for this position.The Operations Manager will use multiple computer programs and communication platforms throughout the workday. The candidate must be comfortable learning new systems quickly and managing information through several software platforms.The position requires proficiency with:
- Microsoft Office, including Excel, Word, and Outlook
- Email and cloud-based communication platforms
- Dispatch and scheduling software
- GPS and vehicle-tracking systems
- Electronic logging and Hours of Service systems
- Camera and telematics platforms
- Fleet maintenance and fleet management software
- Online client portals and reporting systems
- Digital documents, spreadsheets, schedules, and operational reportsExperience with Samsara, Fleetio, Limo Anywhere, DriverAnywhere, or comparable transportation management systems is strongly preferred.The candidate must be able to work efficiently with multiple screens, schedules, emails, messages, drivers, vehicles, reports, and client requests throughout the day.Required Qualifications
- Minimum of five years of management experience in the bus transportation industry
- Previous direct responsibility for managing a bus company or a substantial passenger transportation operation
- Management experience involving motorcoaches, charter buses, minibuses, employee shuttles, corporate shuttles, airport transportation, or contract shuttle services
- Experience managing drivers, dispatchers, vehicles, schedules, routes, and client accounts
- Strong working knowledge of DOT and FMCSA regulations
- Understanding of Hours of Service, ELD requirements, DVIRs, vehicle inspections, driver qualification requirements, and transportation safety procedures
- Advanced computer and software skills
- Ability to learn new transportation programs and systems quickly
- Strong leadership and employee-management skills
- Ability to hold employees accountable while maintaining a professional work environment
- Strong organizational, time-management, and problem-solving abilities
- Ability to prioritize multiple operational responsibilities
- Strong written and verbal communication skills
- Ability to make responsible decisions during time-sensitive situations
- Ability to remain calm and organized during occasional high-pressure situations
- Strong knowledge of Chicago, the surrounding suburbs, local highways, airports, hotels, convention facilities, and major event locations
- Ability to work on-site Monday through Friday from 9:00 AM to 5:00 PM
- Ability to respond remotely or come to the office when a serious operational emergency occurs outside normal business hours

- CDL with Passenger EndorsementA CDL is preferred but is not required for this position.TrainingThe selected candidate will receive training on Flash Limousine and Buses’ internal systems, procedures, client requirements, communication methods, and operating standards.However, the company is not seeking to train someone in the fundamentals of bus transportation management. The candidate must already have substantial, directly relevant industry experience and be capable of understanding and managing a complex transportation operation.CompensationThe starting salary for this position is $90,000 per year.Higher compensation may be offered based on the candidate’s directly relevant bus transportation management experience, qualifications, leadership background, operational knowledge, software proficiency, and demonstrated ability to manage an operation of this size.Health insurance is available.Application RequirementsApplicants must submit a detailed and current résumé clearly showing:
