Job Description – Palace ManagerJob Title: Palace ManagerLocation: Saudi ArabiaJob PurposeThe Palace Manager is responsible for the overall management, operation, maintenance, security coordination, hospitality services, and administrative affairs of the palace. The role ensures that the palace is maintained to the highest standards of cleanliness, comfort, safety, privacy, and service excellence.The Palace Manager will lead and coordinate all palace staff and service providers, manage daily operations, oversee maintenance and facilities, control operational expenses, and ensure that all requirements of the owner and family are handled efficiently, professionally, and confidentially.Key Responsibilities1. Palace OperationsManage the day-to-day operations of the palace and ensure smooth and efficient functioning.Establish and maintain high standards for hospitality, housekeeping, maintenance, and general services.Ensure that all areas of the palace are clean, organized, fully operational, and properly maintained.Coordinate daily activities and requirements according to the owner's schedule and instructions.Ensure the availability of all required supplies, equipment, and services.2. Staff ManagementSupervise and manage all palace employees, including housekeeping, drivers, gardeners, maintenance staff, kitchen staff, administrative personnel, and other service staff.Prepare work schedules, duty rosters, and shift arrangements.Monitor employee attendance, performance, discipline, and productivity.Conduct regular performance evaluations and recommend training, promotions, or corrective actions when required.Ensure that all employees comply with palace policies, procedures, and confidentiality requirements.Coordinate recruitment and replacement of palace staff in cooperation with HR.3. Maintenance & Facilities ManagementSupervise preventive and corrective maintenance of the palace, including electrical, plumbing, HVAC, elevators, generators, water systems, landscaping, and other facilities.Coordinate with maintenance contractors and service providers.Ensure that preventive maintenance schedules are properly implemented.Follow up on maintenance requests and ensure timely resolution of problems.Monitor the condition of furniture, equipment, fixtures, vehicles, and other palace assets.4. Security & SafetyCoordinate with security teams to ensure the safety and privacy of the owner, family, guests, employees, and property.Ensure proper access control and visitor management procedures.Coordinate security arrangements for special events and important visitors.Ensure compliance with fire safety, emergency procedures, and other safety requirements.Immediately report any security, safety, or operational incidents to senior management.5. Hospitality & Guest ServicesEnsure exceptional hospitality services for the owner, family members, VIP guests, and visitors.Coordinate reception, accommodation, transportation, catering, and other guest requirements.Ensure that guest areas are fully prepared before arrival.Coordinate special events, family gatherings, official visits, and private functions held at the palace.6. Procurement & InventoryMonitor palace requirements and coordinate purchasing of supplies and services.Ensure appropriate stock levels for housekeeping, food and beverage, maintenance, office supplies, and other operational requirements.Review supplier quotations and coordinate with Procurement/Finance according to company procedures.Monitor supplier performance and service quality.Maintain accurate records of palace assets, inventory, and consumables.8. Transportation & VehiclesSupervise palace drivers and transportation arrangements.Ensure that palace vehicles are properly maintained, clean, insured, and available when required.Coordinate transportation schedules for the owner, family members, guests, and official visitors.Monitor vehicle maintenance, fuel consumption, registration, and related documentation.9. Events & Special ArrangementsPlan and coordinate palace events, receptions, dinners, celebrations, and VIP visits.Coordinate catering, decoration, housekeeping, security, transportation, and other event requirements.Ensure all arrangements are completed according to the required standards and timelines.10. Confidentiality & PrivacyMaintain strict confidentiality regarding the owner's personal affairs, family information, schedules, visitors, business activities, and private matters.Ensure that all palace employees understand and comply with confidentiality requirements.Immediately report any breach of confidentiality or privacy to senior management.Required QualificationsBachelor's degree in Business Administration, Hospitality Management, Facilities Management, or a related field.Minimum 8–12 years of relevant experience, preferably in palace, private residence, luxury hospitality, five-star hotel, VIP facility, or high-level household management.Proven experience managing large and diverse teams.Strong knowledge of facilities, maintenance, housekeeping, hospitality, and service operations.Strong organizational and problem-solving skills.Excellent communication and interpersonal skills.Ability to work under pressure and handle confidential matters with discretion.Strong leadership and decision-making capabilities.Good command of Arabic and English is preferred.Personal CompetenciesHigh level of integrity and discretion.Leadership and people-management skills.Excellent planning and organization.Attention to detail.Professional appearance and conduct.Strong problem-solving ability.Flexibility and availability when required.Ability to manage VIP requirements professionally.Strong negotiation and vendor-management skills.Ability to maintain confidentiality at all times.Working ConditionsThe position requires flexibility in working hours, including evenings, weekends, holidays, and emergency situations when required.The Palace Manager must be available to respond to urgent operational requirements.The role involves frequent coordination with employees, contractors, suppliers, security personnel, family representatives, and senior management.
