Part-Time Executive AssistantJob Type: Part-Time (20 hours per week)Work Hours: Monday to Friday, following a split schedule of 9:00 AM–11:00 AM and 1:00 PM–3:00 PM Pacific TimeSalary: TBDJob Overview: We are seeking a highly organized, intelligent, and proactive Part-Time Executive Assistant to work directly with the company owner. This person will serve as the owner’s right hand, helping manage communications, priorities, follow-ups, and administrative responsibilities so the owner can focus primarily on company growth and strategic initiatives.The ideal candidate is highly resourceful, detail-oriented, and capable of working independently in a fast-paced environment. This role requires strong judgment, excellent communication skills, and the ability to anticipate needs before they are explicitly communicated. The Executive Assistant will play a key role in keeping the owner organized, informed, and focused by ensuring important tasks, communications, deadlines, and follow-ups do not fall through the cracks.

Key Responsibilities

Manage and organize the owner’s email inbox, reviewing incoming messages and identifying those that require attention or action.Filter unnecessary emails and messages where the owner is copied only for visibility, while flagging urgent communications, decisions, deadlines, and important follow-ups.Draft and organize email responses as needed.Track outstanding tasks, action items, and follow-ups to ensure timely completion. Coordinate with internal team members on behalf of the owner and follow up on outstanding requests or priorities.Organize meetings, schedules, documents, and executive priorities.Prepare reports, spreadsheets, presentations, documents, and other materials as needed.Take ownership of administrative tasks that do not require the owner’s direct involvement.Proactively identify tasks and responsibilities that can be taken off the owner’s plate.Maintain accurate and organized digital files and documents using company systems.Handle confidential company and executive information with discretion.Adapt quickly to changing priorities and provide dependable day-to-day executive support.Required Skills & Qualifications:Previous experience as an Executive Assistant, Executive Administrative Assistant, or in a similar role supporting a CEO, owner, founder, or senior executive is strongly preferred.Excellent written and verbal English communication skills.Exceptional organizational skills and strong attention to detail.Strong judgment and the ability to assess urgency and prioritize effectively.Highly proactive, resourceful, and able to work independently with minimal direction.Strong problem-solving skills and the ability to identify solutions without constant supervision.Excellent follow-through, accountability, and the ability to manage multiple priorities.Comfortable working in a fast-paced environment with changing priorities.Ability to anticipate an executive’s needs and provide dependable, high-level support.Professional and able to handle confidential information with discretion.Strong interpersonal skills and the ability to communicate effectively with internal team members and other stakeholders.Highly proficient in Microsoft Outlook, Teams, Excel, Word, PowerPoint, OneDrive, and SharePoint.Reliable and consistently available during both scheduled Pacific Time shifts.Ability to quickly learn new systems, processes, and tools as needed.Note: An NBI or police clearance will be required upon acceptance of the job offer.
