Apply & track with Apply EdgeVelara Care is looking for a friendly, organized, and detail-oriented Patient Care Coordinator to join our growing team.In this role, you’ll be an important connection between our patients, physician offices, insurance companies, delivery technicians, billing team, and inventory team. You’ll help guide patients through the process of receiving their medical equipment while making sure each order is complete, accurate, and ready for delivery.Key ResponsibilitiesReceive, review, and organize incoming patient orders and referrals, including orders received by fax.Review documentation for completeness and follow up with physician offices when additional information, corrections, or supporting documentation is needed.Verify patient insurance eligibility and benefits using Medicare CGS, Availity, UnitedHealthcare, and other applicable payer portals.Determine patient financial responsibility, including deductibles, copays, coinsurance, and other out-of-pocket costs.Verify in-network and out-of-network benefits and communicate coverage information to patients when appropriate.Review same or similar equipment history and identify potential coverage or reimbursement issues before fulfillment.Contact insurance companies to obtain prior authorizations and follow up on pending authorization requests.Call patients to introduce Velara Care, explain their order and coverage process, discuss next steps, and answer questions.Schedule patient deliveries, home setups, and in-office equipment setups.Coordinate closely with delivery technicians to ensure orders are scheduled and completed efficiently.Answer incoming patient calls and assist with questions, equipment concerns, order status, insurance issues, and other service needs.Communicate with physician offices to resolve prescription, documentation, insurance, or medical-record issues that may delay an order.Work closely with the billing team to ensure insurance requirements and patient financial responsibilities are addressed before and after delivery.Coordinate with the inventory team to confirm equipment and supplies are available for upcoming patient orders.Maintain accurate and organized patient records, order documentation, communication notes, and status updates.Follow HIPAA requirements and Velara Care policies when handling protected health information and patient documentation.Provide patients with a friendly, professional, and supportive experience from initial intake through successful delivery.What We’re Looking ForWe’re looking for someone who is compassionate with patients, comfortable working on the phone, highly organized, and able to manage multiple orders and priorities at the same time.The ideal candidate will have:Strong communication and customer-service skillsExcellent attention to detail and organizational skillsAbility to communicate professionally with patients, physician offices, insurance companies, and internal teamsComfort navigating insurance portals and learning payer-specific requirementsAbility to understand insurance benefits, deductibles, copays, coinsurance, and authorization requirementsStrong follow-up skills and the ability to keep orders moving toward completionAbility to work independently while collaborating closely with a teamExperience in DME/HME, healthcare, medical offices, insurance verification, patient intake, or prior authorization is strongly preferredAbout Velara CareVelara Care is a growing home medical equipment provider focused on respiratory care and helping patients receive the equipment, support, and service they need.
