Ketamine Clinics Los Angeles (KCLA)Los Angeles, CA 90045 | Fully onsite | Full-time$24.04–$33.65/hour + full benefitsKetamine Clinics Los Angeles is seeking a warm, capable, and highly organized Patient Services & Practice Operations Coordinator to help run the front desk and support the day-to-day operations of our busy outpatient clinic.This is first and foremost a patient-facing front-office role with billing responsibility. You’ll answer phones, schedule appointments, check patients in and out, manage messages and paperwork, verify insurance, assist with authorizations and billing coordination, and make sure patient needs don’t fall through the cracks.But we’re also looking for someone who thinks beyond the task in front of them — someone who notices what could work better, anticipates needs, solves problems, and wants to take increasing ownership of practice operations over time.Experience in a busy medical or clinical setting, combined with basic insurance and billing proficiency, is what matters. Behavioral health experience is preferred.What You’ll DoServe as a primary front-desk contact for patients, providing a warm, professional, and efficient experience.Manage a high volume of calls, messages, scheduling requests, paperwork, and patient follow-up.Schedule and reschedule appointments, check patients in and out, collect balances, and maintain accurate patient information.Verify insurance eligibility and benefits and help patients understand routine financial responsibility.Assist with prior authorizations, insurance submissions, billing documentation, and follow-up with payers and KCLA’s billing partners.Coordinate with patients, providers, clinical staff, pharmacies, and outside partners to keep care moving smoothly.Track open items, follow up consistently, and make sure administrative issues are resolved or appropriately escalated.Help keep the clinic organized and running efficiently, including supporting scheduling, workflow, documentation, and office needs.Identify opportunities to improve processes and take on increasing responsibility for practice operations as you learn the business.What We’re Looking ForExperience working in a busy medical front desk, patient services, medical reception, patient access, or similar clinical office role. Behavioral health settings preferred.Working knowledge of at least some of the following: insurance eligibility and benefits verification, prior authorizations, patient financial responsibility, or medical billing coordination.Comfort handling phones, scheduling, patient communication, and competing priorities in a fast-moving environment.Strong organization and follow-through — you notice loose ends and close them.Warm, confident communication skills and good judgment with patients and coworkers.Comfort with EHRs, scheduling systems, spreadsheets, and general office technology.A proactive mindset: you anticipate needs, solve problems, and look for ways to make the practice run better.Interest in growing beyond the front desk into broader practice operations.Why KCLAKetamine Clinics Los Angeles is an independent, physician-led practice and an established leader in innovative mental health treatment.
