Position OverviewWe are looking for a detail-oriented and experienced Payroll Specialist with a minimum of 5 years of payroll experience, preferably within multi-entity organizations, retail, F&B, or other fast-paced environments.The ideal candidate will be responsible for managing the end-to-end payroll process across multiple entities, ensuring payroll is accurate, timely, compliant, and error-free. The role requires strong Excel and HRMS expertise, as well as the ability to independently prepare payroll manually when required.Key ResponsibilitiesManage the end-to-end monthly payroll process across multiple entities and business units.Collect, verify, and consolidate payroll inputs including attendance, overtime, leave, deductions, allowances, incentives, commissions, and other adjustments.Coordinate closely with HR Coordinators across different entities, stores, restaurants, and departments to ensure accurate and timely payroll inputs.Review attendance and employee data thoroughly and identify discrepancies before payroll processing.Process payroll through various HRMS/payroll systems and ensure accurate data entry and reconciliation.Be capable of manually preparing payroll using Excel when required, including detailed calculations and reconciliations.Maintain and develop Excel-based payroll reports, trackers, reconciliations, and payroll working files.Conduct thorough payroll checks and validations before final submission to ensure zero or minimal errors.Reconcile payroll against employee master data and previous payroll periods, investigating and resolving discrepancies.Maintain accurate payroll records and ensure all supporting documentation is properly maintained.Coordinate with HR and Finance teams on payroll-related queries, adjustments, and reconciliations.Handle employee payroll queries professionally and ensure timely resolution.Maintain strict confidentiality of employee salary and personal information.Support payroll-related reporting, audits, and other HR/Finance requirements as needed.Continuously review payroll processes and identify opportunities to improve accuracy, efficiency, and controls.RequirementsMinimum 5 years of relevant payroll experience.Experience working in a multi-entity organization is essential.Experience within retail, F&B, hospitality, or similarly high-volume environments is highly preferred.Strong experience with HRMS/payroll systems; exposure to multiple HRMS platforms is preferred.Advanced Excel skills, including formulas, lookups, pivot tables, data validation, and reconciliation.Strong understanding of payroll calculations and the ability to prepare payroll manually in Excel when required.Excellent attention to detail with a strong focus on accuracy and error prevention.Strong analytical and reconciliation skills.Ability to work with large volumes of employee data and meet strict payroll deadlines.Strong coordination skills, particularly when working with multiple HR Coordinators and business units.Ability to handle confidential information with a high level of discretion.Good communication and organizational skills.Key CompetenciesHigh attention to detailPayroll accuracy and controlAdvanced Excel proficiencyAnalytical and reconciliation skillsHRMS expertiseMulti-entity payroll managementStrong coordination and follow-upConfidentiality and integrityTime management and deadline orientationProblem-solving skills
