The office operates in a fast-paced, professional, and protocol-driven environment requiring discretion, organization, and strong administrative support.Role Description:The Consulate General of Uzbekistan in Seattle is seeking a Personal Assistant / Administrative & Outreach Assistant to provide direct support to Lazizbek Salimov, Executive Assistant to the Consul General, and assist with the daily operations, outreach activities, and investment/trade-related work of the Consulate.This is a full-time or part-time, on-site role based at the Consulate General of Uzbekistan in Seattle, WA. The role involves supporting executive, administrative, and outreach functions, including scheduling, correspondence, document preparation, visitor coordination, phone and email communication, meeting logistics, record keeping, event support, and assistance with economic, cultural, and community outreach initiatives.The Assistant will help ensure that daily operations run smoothly while supporting outreach connected to investment, trade, business engagement, cultural diplomacy, and community relations. This may include helping prepare briefing materials, investor presentations, contact lists, outreach emails, meeting notes, and follow-up communications with business leaders, community organizations, elected officials, universities, cultural institutions, and external partners.The position requires strong professionalism, attention to detail, confidentiality, and the ability to represent the Consulate with courtesy and respect at all times.Key Responsibilities:Provide direct administrative and professional support to Lazizbek Salimov, Executive Assistant to the Consul General, with a focus on executive coordination, investment/trade support, and outreach activities.Assist with daily scheduling, calendar management, appointment coordination, and meeting preparation.Handle phone calls, emails, visitor inquiries, and general office communication in a professional and diplomatic manner.Prepare, proofread, format, and organize official documents, letters, memos, reports, briefing notes, presentations, and correspondence.Support outreach efforts with business leaders, investors, community organizations, elected officials, universities, cultural institutions, and partner organizations.Help prepare investor materials, trade-related documents, presentation decks, contact lists, and follow-up emails for U.S. audiences.Coordinate meetings with external stakeholders, including business representatives, government offices, community leaders, and potential partners.Maintain accurate records, files, databases, contact lists, and internal documentation.Take meeting notes, track action items, and assist with timely follow-up after meetings and events.Support logistics for official meetings, visits, delegations, cultural programs, business events, and community outreach activities.Assist with travel coordination, reservations, itineraries, transportation, and related arrangements when needed.Provide courteous front-office and visitor support, including directing individuals to the appropriate consular services or staff members.Assist with basic translation, interpretation, or document review when applicable, particularly in English, Uzbek, or Russian.Help manage office supplies, meeting materials, schedules, and internal administrative workflows.Maintain confidentiality when handling sensitive information, official documents, diplomatic communications, and business contacts.Perform other administrative and outreach-related duties as assigned in support of the Consulate’s mission.Qualifications:Strong clerical and administrative skills, including document preparation, filing, data entry, scheduling, and office organization.Excellent written and verbal communication skills.Ability to interact professionally with diplomats, government representatives, business leaders, community members, investors, and visitors.Experience in executive assistance, office administration, secretarial work, customer service, outreach coordination, or a similar support role is preferred.Interest or experience in international relations, business development, trade, investment, government relations, public diplomacy, or economic development is preferred.Ability to draft, edit, and format professional correspondence, official documents, summaries, and outreach materials.Ability to conduct basic research on companies, organizations, events, public officials, and potential partners.Strong customer service skills, with an emphasis on courtesy, patience, accuracy, and problem-solving.High level of discretion, reliability, punctuality, and professionalism.Strong attention to detail and ability to manage multiple tasks in a fast-paced environment.Proficiency with common office software, including Microsoft Word, Excel, Outlook, PowerPoint, and shared calendar systems.Comfort with learning consular-specific systems, internal procedures, and diplomatic protocols.Experience with presentations, spreadsheets, contact databases, or CRM-style tracking is an advantage.Bachelor’s degree or equivalent experience in administration, international relations, political science, business, communications, economics, or a related field is preferred.Fluency in English is required.Knowledge of Uzbek, Russian, or other regional languages is a strong advantage.Ability to work independently while also collaborating effectively in a small diplomatic office environment.Ability to maintain professionalism under pressure and adapt to changing priorities.Prior experience in a consulate, embassy, government office, international organization, business organization, law office, or executive office is an asset.Ideal Candidate Profile:The ideal candidate is polished, dependable, organized, and professional.
