Apply & track with Apply EdgePERSONAL ASSISTANT – LISBONFull-time | Hybrid | Lisbon-based | Some travelA private entrepreneurial businesswoman is looking for an exceptional Personal Assistant to support her across a busy professional and personal life.The role is broad and varied, combining traditional PA responsibilities with personal logistics, travel, household coordination and day-to-day problem solving.The objective is simple: to remove unnecessary admin, decisions and logistical friction, allowing the principal to focus on her businesses, family and other priorities.The roleResponsibilities will include:
- Managing the principal’s calendar, appointments and priorities
- Managing and filtering emails and communications
- Organising travel, including flights, hotels, restaurants, transport and itineraries
- Handling bookings, reservations, purchases, returns and errands
- Coordinating household logistics, suppliers, deliveries and services
- Handling Portuguese admin and bureaucracy
- Organising personal appointments
- Coordinating food, groceries and restaurant bookings
- Supporting occasional family and child-related logistics
- Preparing for travel and ensuring practical arrangements are taken care of
- Following up with people and ensuring things get done
- Creating simple systems and routines that make daily life run more smoothlyAs trust develops, the successful candidate will be expected to learn the principal’s preferences and increasingly make decisions independently.About youThe ideal candidate is bright, highly organised, proactive and extremely reliable, likely with around 2–3 years’ professional experience.Previous experience might include a PA or EA role, operations, luxury hospitality, concierge, family office or another fast-moving environment. However, attitude, intelligence and judgement are more important than having followed a particular career path.You should be:
- Fluent in Portuguese with excellent English
- Based in or around Lisbon
- Exceptionally organised
- Proactive and able to anticipate what needs doing
- Discreet and trustworthy
- Practical, resourceful and quick-thinking
- Warm and professional
- Comfortable around children
- Comfortable dealing with everyone from senior executives to tradespeople
- Flexible when plans change or something needs handling at short notice
- Willing and able to travel when required
- Comfortable with both high-level administrative work and very practical tasksA driving licence is strongly preferred.There is no ego around tasks in this role. One moment may involve organising an international trip or handling an important communication; the next may involve collecting something, coordinating a repair or solving an everyday practical problem.Working styleThis is a full-time hybrid position. Much of the role can be performed remotely, but the successful candidate must be based in the Lisbon area and available to work in person when required.Some travel may be required and could occasionally arise at relatively short notice. Flexibility and responsiveness are therefore important, although the role is not intended to mean 24/7 availability.This is a high-trust position. The successful candidate will gradually gain access to sensitive personal and business information, so excellent judgement, confidentiality and discretion are essential.The right person will have the opportunity to build a long-term role with significant trust, autonomy and responsibility.
