Apply & track with Apply EdgeThe ideal candidate will be responsible to organize and provide daily support for the CEO and executive heads of MultiChoice Angola. This includes forward planning, diary management and coordinating all related activities.Key Performance ObjectivesOperational Delivery | TasksMaintain and provide a support service for the Head’s daily schedule, including forward planning of workload, diary management and coordinating and collating all relevant paperworkSet appointments and meetings for the Head as requested including regular one to one meetings with the Head’s direct reportsService meetings, including preparation of meeting papers, boardrooms obtaining and preparing briefing materials and presentations, and taking minutes when requested/where necessaryAdministrative Support: Preparing basic legal documents, letters, and emails under attorney supervision.CMS - Contract Management System: Organizing, filing, and assembling physical and digital case filesRespond and advise efficiently to all electronic or verbal enquiries for the Head and other staff, using your own initiativeLiaise effectively with internal divisions and external organizations on behalf of the Head.Ensure appropriate systems and processes are developed and maintained to support effective and efficient day to day running of the officeMonitor the use of operations budgetSubmitting receipted returns to the Finance Division. To submit expenses claims, both internal and external, on behalf of the HeadMonitor monthly expenditure of operational and travel budgets, develop relevant reports to draw attention to anomalies and implement changesLiaise with Finance department on requirements and SAP reporting.Capture invoicesOrganize travel and preparing complex travel itinerariesEnsure division’s organograms are up to date at all timesPlan and implement hospitality arrangements for the Head, including provision of hospitality for visitors.Answer calls and liaising with clients competently.Source and order stationery and office equipment.Organize internal divisional functions and events.Handle ad hoc administrative and operational requests as required.Key CompetenciesExceptional organizational and planning skills.Strong attention to detail and ability to manage multiple priorities simultaneously.Excellent verbal and written communication skills in English and Portuguese.High level of discretion, professionalism, and confidentiality.Strong stakeholder management and interpersonal skills.Proficiency in Microsoft Office Suite and corporate systems.ResponsibilitiesStakeholder Coordination by serving as a key liaison between executive leadership, internal departments, and external stakeholders.Maintain effective communication channels across the organization.Coordinate requests and follow-ups on behalf of the CEO and Executive Team.Coordinate and schedule calendar appointmentsManage all incoming and outgoing communicationsCoordinate Travel & Logistics by arranging local and international travel, accommodation, visas, transportation, and detailed travel itineraries.Ensure all travel logistics are efficiently coordinated and communicated.Planning eventsQualificationsBachelor's Degree in Business Administration, Management, Communications, or a related field.Minimum of 5 years' experience providing executive support at senior management or executive level.Proven experience managing complex calendars, travel arrangements, and executive communications.Experience working within a dynamic corporate environment.
