Apply & track with Apply EdgePHE Consulting LLC is seeking a highly organized, dependable, and proactive Personal Assistant to provide direct support to the CEO.This role is designed for someone who excels at organization, logistics, travel coordination, problem-solving, and getting things done.The Personal Assistant will help manage the day-to-day personal responsibilities and logistics that compete for the CEO's time, allowing the CEO to remain focused on company leadership and strategic priorities.This is not a traditional desk-based administrative position. The role will involve a combination of personal scheduling, travel coordination, errands, appointments, research, vendor coordination, and other personal and administrative responsibilities.The ideal candidate is someone who can be given an objective and independently determine what needs to happen next.What You'll DoTravel & LogisticsCoordinate domestic travel, including flights, hotels, rental vehicles, and ground transportation.Prepare detailed travel itineraries.Manage reservations, confirmations, and travel documentation.Research hotels, restaurants, transportation, and other travel needs.Assist with flight changes, cancellations, delays, and rebooking.Coordinate transportation to and from airports, meetings, hotels, and events.Travel with the CEO when required.Assist with logistics and personal needs while traveling.Adjust travel plans quickly when schedules change.Calendar & Personal SchedulingManage and coordinate the CEO's personal calendar.Schedule personal appointments and commitments.Coordinate personal schedules around business meetings and travel.Maintain reminders for important appointments, deadlines, events, and commitments.Confirm appointments and reservations.Identify and resolve scheduling conflicts before they become problems.Personal Errands & Day-to-Day SupportHandle personal errands and time-sensitive requests.Coordinate pickups, deliveries, purchases, returns, and exchanges.Schedule vehicle maintenance, detailing, repairs, and other services.Coordinate appointments with vendors and service providers.Assist with reservations, tickets, gifts, and special occasions.Handle other personal tasks that allow the CEO to focus on higher-priority responsibilities.Research & Problem SolvingThe Personal Assistant will frequently be given an objective rather than step-by-step instructions.Examples might include:"I need to be in Dallas Wednesday and Thursday. Get everything organized.""My vehicle needs service. Find out what it needs, schedule it, and coordinate transportation.""Find three hotels close to this meeting and give me the best options.""I need someone to handle this repair. Find a reputable company and coordinate it.""This needs to be returned. Take care of it."The successful candidate should be comfortable researching options, making appropriate decisions within their authority, and following through until the task is completed.Personal AdministrationMaintain and prioritize personal task lists.Organize receipts, confirmations, reservations, and important documents.Assist with registrations, renewals, memberships, and subscriptions.Track important personal deadlines and recurring responsibilities.Prepare basic spreadsheets, lists, itineraries, and organizational documents.Maintain organized digital records and files.Communication & CoordinationMake phone calls and send messages on behalf of the CEO when authorized.Communicate with vendors, service providers, hotels, airlines, restaurants, and other contacts.Follow up on outstanding requests until they are resolved.Coordinate with company employees when business and personal schedules overlap.Represent the CEO professionally when communicating with third parties.What We're Looking ForWe're looking for someone who is naturally organized and takes ownership.A strong candidate won't simply ask, "What do you want me to do next?"Instead, they'll think:"What needs to happen next?"You should be someone who:Anticipates needs.Notices details others may overlook.Takes initiative.Follows through without repeated reminders.Is comfortable solving problems independently.Can adjust quickly when priorities change.Remains calm when travel or schedules don't go according to plan.Understands when to make a decision independently and when to ask the CEO.Treats private information with absolute discretion.QualificationsPrevious experience as a Personal Assistant, Executive Assistant, Family Assistant, Household Manager, or similar role preferred.Excellent organizational and time-management skills.Strong written and verbal communication skills.Strong research and problem-solving abilities.Ability to manage multiple priorities simultaneously.High level of professionalism, reliability, and discretion.Comfortable working independently with minimal supervision.Comfortable working directly with a CEO.Proficiency with email, calendars, Microsoft Office, Google Workspace, and common productivity applications.Valid driver's license and reliable transportation.Ability to occasionally work outside traditional business hours.Ability and willingness to travel as required.Travel & ScheduleTravel is an important component of this position.The Personal Assistant must be comfortable traveling with the CEO when needed, including domestic air travel, overnight stays, and multi-day trips.Some travel may involve early-morning departures, evening flights, or occasional weekend travel.Company-required travel expenses will be covered in accordance with company travel policies.The position requires flexibility because schedules and priorities may occasionally change with limited notice.Confidentiality & TrustThis position requires a significant level of trust.The Personal Assistant may have access to confidential personal, family, financial, travel, and business-related information.Strict confidentiality, sound judgment, professionalism, and discretion are essential requirements of this position.Position DetailsPosition: Personal Assistant to CEOCompany: PHE Consulting LLCEmployment Type: Full-TimeReports To: CEOWork Arrangement: Primarily in-person with travel and some responsibilities completed remotelyTravel: Regular domestic travel requiredSchedule: Full-time with flexibility based on the CEO's schedule and travel requirements
