The organization operates within robust governance, security, and compliance frameworks and places a strong emphasis on professionalism, integrity, accountability, and service excellence.Employees have the opportunity to work closely with senior leadership, contribute to high-impact public sector initiatives, and gain exposure to strategic and operational activities within a complex government environment.Role DescriptionWe are seeking a highly organized, discreet, and proactive Personal Assistant to the CXO to provide comprehensive executive and administrative support to a member of the organization's senior leadership team.Based in Dubai, this is a hybrid role requiring a high level of flexibility, professionalism, and responsiveness. The successful candidate will act as a trusted partner to the CXO, ensuring effective management of their time, priorities, commitments, and day-to-day activities.The role will involve extensive diary and calendar management, meeting coordination, travel planning, correspondence, document preparation, stakeholder engagement, and confidential administrative support. The Personal Assistant will also monitor follow-ups and action items, coordinate with internal and external stakeholders, and help ensure that the CXO is fully prepared for key meetings, engagements, and strategic activities.Travel will be required as part of the role, including coordination of domestic and international business travel and, where necessary, accompanying or supporting the CXO during business engagements.The ideal candidate will be confident working with senior executives, capable of managing competing priorities with minimal supervision, and comfortable operating in a fast-paced, highly confidential, and structured government environment.Key ResponsibilitiesProvide high-level personal and executive administrative support to the CXO.Manage the CXO's complex diary, calendar, appointments, and daily schedule, ensuring priorities are appropriately managed.Coordinate internal and external meetings, including scheduling, agendas, briefing packs, meeting rooms, technology, and supporting documentation.Prepare, format, and proofread correspondence, presentations, reports, briefing materials, minutes, and other executive documents.Anticipate the CXO's requirements and proactively ensure they are adequately prepared for meetings, events, and engagements.Coordinate domestic and international business travel, including itineraries, flights, accommodation, ground transportation, visas, and associated logistics.Support the CXO during business travel and key engagements when required.Maintain accurate records, files, contact lists, and confidential documentation in accordance with organizational policies and security requirements.Manage incoming correspondence and communications, identifying priorities and ensuring timely follow-up.Liaise professionally with senior internal stakeholders, government entities, external partners, suppliers, and other relevant parties.Track actions, commitments, and deadlines arising from meetings and engagements and ensure appropriate follow-up.Assist with the coordination of executive-level events, workshops, conferences, and strategic meetings.Handle highly sensitive, confidential, and privileged information with absolute discretion and integrity.Support the CXO with selected operational and strategic administrative activities as required.Exercise sound judgment when managing competing priorities, changes to schedules, and urgent requests.Maintain a consistently high standard of professionalism and confidentiality when representing the CXO and the organization.
