Duties and responsibilitiesManage the CEO's calendar end-to-end: schedule, prioritize, and protect time across internal meetings, board commitments, and external stakeholdersHandle confidential personal tasks as directed: household scheduling, family travel, gift procurement, vendor managementCoordinate domestic and international travel including flights, hotels, ground transport, visa arrangements, and detailed itinerariesScreen, draft, and triage executive email and correspondence, ensuring the CEO sees only what requires direct attentionPrepare briefing documents, background research, and talking points before board meetings, investor calls, and media appearancesAct as primary gatekeeper and first point of contact for executives, board members, investors, and high-priority external partiesTrack action items and follow-up commitments from meetings; chase deadlines across departments on the CEO's behalfManage expense reporting, invoice approvals, and reimbursement submissions in accordance with company policyAnticipate the CEO's needs by maintaining awareness of their priorities, relationships, and upcoming commitments across all contexts

Qualifications

Bachelor's degree in business, communications, or a related field (preferred by most corporate employers)Experience:3–5 years supporting a C-suite executive, board-level principal, or equivalent high-demand roleExperience in a fast-paced environment: high-growth startup, financial services, private equity, legal, or management consultingPrior exposure to confidential information with a documented history of discretionTechnical skills:Calendar platforms: Google Workspace and Microsoft 365/Outlook at advanced levelTravel booking: Concur, TripActions, Egencia, or direct corporate travel desk coordinationCommunication tools: Slack, Teams, and executive email management at volumeDocument preparation: PowerPoint or Keynote for briefing decks; Word and Google Docs for correspondenceExpense management: Concur, Expensify, or NetSuite expense workflowsAI productivity tools: Otter.ai, Superhuman, Motion, or equivalent for meeting notes and email triage
