Apply & track with Apply EdgeSCOPE OF WORKHandles administrative and related tasks, including but not limited to schedule maintenance, documentation, record maintenance, liaison and interaction with other departments and outside professional parties, coordinating travel arrangements, and other tasks as assigned by the EVP, Projects & Development.KEY RESPONSIBILITIES AND ACCOUNTABILITIESManage the EVP's calendar, appointments, and daily schedule, proactively resolving conflicts and prioritizing time-sensitive matters.Coordinate with activities and meetings related to Shareholders and Senior Executives; produce regular meeting minutes and assist in preparing presentation materials.Coordinate site visits, tours, events for both internal and outside professionals.Act as a key point of contact between the EVP and related departments (commercial, legal, procurement, accounting, finance, etc.) to ensure timely completion of assigned matters.Prepare invoices, reports, memos, and various documents.Liaise with Consultants, Contractors to coordinate meetings, project information, reports, schedules, contracts, payments.Coordinate all travel arrangements, itineraries, and logistics for the EVP in accordance with company policy.Act as a gatekeeper for the EVP, screening calls, visitors, and correspondence, and prioritizing matters requiring the EVP's attention.Carry out admin tasks and other related duties and responsibilities for the team as assigned by EVP/HOD/Management.Coordinate and support other Assistants/Admin in the Department ensuring efficient administration.Translate business, project-related, and other documents between English and Vietnamese as required.REQUIREMENTS/QUALIFICATIONSExcellent verbal and written communication skills in English.Meticulous, organized, polite, approachable, and attentive.Excellent administrative and IT skills, including proficiency in Microsoft Office (Word, Excel, Outlook).Flexible and able to respond to a range of different work situations.Able to work well under pressure.College degree or equivalent relevant experience.At least 2–3 years of relevant experience.Discover more job opportunities on our website: https://careers.hoiana.com/Candidate can apply on LinkedIn or directly apply via email: hr@hoiana.com
