About the RoleThe Personal Assistant to the CEO plays a pivotal role in providing high-level support to the Chief Executive Officer. This position serves as the CEO's trusted partner, ensuring seamless coordination of executive priorities, efficient communication, and effective execution of strategic initiatives. The role provides comprehensive administrative and coordination support across The Authors Holiday Homes.The ideal candidate is highly organized, proactive, detail-oriented, and capable of handling confidential information with professionalism while thriving in a fast-paced hospitality and real estate environment.Key Responsibilities:Executive SupportManage the CEO's calendar, appointments, meetings, and daily schedule to optimize productivity.Screen, prioritize, and respond to emails, phone calls, and correspondence on behalf of the CEO.Prepare meeting agendas, presentations, minutes of meetings, and track follow-up action items.Coordinate travel arrangements, accommodation, transportation, and detailed itineraries.Maintain confidential records, contracts, company documents, and executive files.Assist the CEO in planning, organizing, and executing strategic projects and business initiatives.Conduct market research, prepare reports, and provide insights to support business decisions.Liaise with property owners, investors, business partners, government entities, and external stakeholders. Operations & CoordinationFollow up with department heads to ensure operational tasks and strategic initiatives are completed within agreed timelines.Coordinate communication between reservations, operations, housekeeping, maintenance, finance, and other relevant teams.Monitor ongoing company projects and provide regular progress updates to the CEO.Assist in resolving guest, owner, or partner escalations promptly and professionally.Ensure all administrative processes comply with company policies and relevant UAE regulations.Support the preparation of operational reports, performance dashboards, and executive summaries.Organize company meetings, events, training sessions, and corporate functions when required. Qualifications & SkillsBachelor's degree in Business Administration, Hospitality Management, Management, or a related field.Minimum 2–4 years of experience as an Executive Assistant, Personal Assistant, Executive Coordinator, or similar role.Experience in hospitality, holiday homes, real estate, or property management is highly preferred.Excellent verbal and written communication skills in English; Arabic is an advantage.Strong organizational, multitasking, and time-management abilities.High level of professionalism, discretion, and confidentiality.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.Experience using document management, scheduling, and property management software is an advantage.Strong interpersonal, stakeholder management, problem-solving, and relationship management skills.Ability to work independently, prioritize competing demands, and perform effectively under pressure.
