Our team brings together Chartered Accountants, Certified Public Accountants, Cost Accountants, Company Secretaries and Advocates, with expertise across accounting, audit, taxation, compliance, financial advisory and corporate legal matters. About the role We are looking for an organised, dependable and articulate Personal Office Secretary to support the Managing Partner in managing his schedule, communication, meetings and daily priorities. This role requires someone who pays attention, remembers commitments and follows through without repeated reminders. You will work closely with the Managing Partner, internal teams, clients and external contacts to ensure his office runs efficiently and important matters receive timely attention. Key responsibilities 1. Calendar and daily planning Manage appointments, meetings, calls and the Managing Partner’s daily schedule. Prioritise requests, resolve scheduling conflicts and allow sufficient time for preparation and travel. Prepare a daily briefing covering meetings, pending decisions, commitments and urgent matters. Coordinate professional and personal appointments as assigned. 2. Communication and correspondence Organise incoming emails, calls and messages, highlighting matters that require attention.Draft clear, professional emails, letters, meeting invitations and routine correspondence.Communicate courteously with clients, business owners, senior executives and other professional contacts.Track responses and commitments, ensuring important communication does not remain unattended. 3. Meeting preparation and follow-up Arrange meetings and keep agendas, documents and background information ready in advance. Record concise meeting notes, decisions, action points, responsible persons and deadlines. Follow up with the relevant team members until agreed actions are completed. Bring delays, unresolved matters and decisions requiring intervention to the Managing Partner’s attention. 4. Internal coordination Coordinate with partners, the Founders Office, managers, HR, accounts and administration teams. Collect updates and consolidate them into a clear summary for review. Maintain an organised tracker of instructions, commitments, approvals and pending work. Follow established reporting lines while coordinating tasks on the Managing Partner’s behalf. 5. Travel and engagement arrangements Coordinate travel bookings, accommodation, transport and detailed itineraries. Arrange client visits, professional events, speaking engagements and media appointments. Keep travel documents and meeting information accessible. Coordinate changes promptly and maintain records of related expenses. 6. Documentation and confidentiality Maintain orderly digital and physical records, contact lists and correspondence. Coordinate documents requiring review, approval or signature and track their return. Handle business, client, employee and personal information with discretion. Exercise sound judgment about information sharing and matters requiring approval. Candidate requirements Graduate in any discipline. A background in commerce, business administration or secretarial practice is an advantage.Relevant experience as a personal secretary, executive assistant or administrative coordinator supporting senior management.Strong spoken and written English. Kannada and Hindi would be an advantage.Working proficiency in Microsoft Outlook, Word, Excel, Teams and digital calendars.Ability to write accurate emails, prepare meeting notes and maintain task trackers.Confidence in dealing professionally with senior clients and colleagues.Strong attention to detail, punctuality and the ability to manage changing priorities calmly.High standards of integrity, discretion and ownership.Experience in a consulting firm, CA firm, legal practice or professional services business would be preferred. What success looks like The Managing Partner’s schedule is well planned, meetings are properly prepared, communication receives timely attention and commitments are followed through to completion.
