Job PurposeThe PMO Officer will be responsible for managing the department’s reporting, governance, data quality, and project assurance activities. The role will ensure that portfolio information is accurate, up to date, consistently reported, and delivered within agreed timelines.The position will also ensure that projects follow standardized processes from initiation through closeout, while supporting project owners with reporting, governance, and compliance requirements.Job Type: PermanentEmirati National/ArabKey Responsibilities1. Portfolio Reporting & AnalysisOwn the complete production cycle of the Portfolio Dashboard, including collecting, validating, consolidating, and publishing project information within the weekly reporting timeline.Coordinate with project owners to obtain accurate and timely project updates.Prepare weekly project reports covering operational details, key issues, and exceptions for senior management.Prepare monthly portfolio summaries highlighting overall portfolio position, progress, trends, and trajectory for executive management.Develop ad hoc analysis, presentations, dashboards, and briefing materials as required.Maintain the bilingual project Glossary and ensure consistent terminology across departmental reports and communications in both Arabic and English.2. Data Quality & Register ManagementMaintain and regularly update the Projects, Pipeline, Risks, and Decisions registers.Review project data and actively follow up on missing, outdated, inconsistent, or questionable information.Ensure high-impact risks have clearly identified owners, mitigation actions, and review dates.Monitor open decisions and follow up with relevant stakeholders until closure.Highlight delays and potential cost or operational impact resulting from outstanding decisions.Ensure portfolio information reflects the latest and most accurate project position.3. Governance & Project AssuranceAdminister project intake and stage-gate processes and verify that required criteria and documentation are completed before projects progress.Identify and report instances where projects have progressed without completing the required governance requirements.Facilitate periodic portfolio risk reviews with project owners and relevant stakeholders.Conduct project health checks and documentation audits.Track identified issues and corrective actions through to closure.Verify compliance with internal procedures relating to approvals, procurement, documentation, and record-keeping.4. Process Improvement & PMO StandardsMaintain PMO templates, procedures, reporting standards, and document-control structures.Support the onboarding of new project owners, transferred employees, and agency personnel into the project reporting and governance processes.Provide guidance and support until project owners are able to independently meet PMO requirements.Identify recurring issues and recommend process improvements to prevent repeated findings.Support the department in transitioning from Excel-based reporting to a dedicated project management or reporting platform, where applicable.Promote consistent PMO practices and standards across all development projects.Qualifications & ExperienceBachelor’s degree in Engineering, Business Administration, Information Systems, Project Management, or a related field.Minimum 4 years of experience in PMO, project controls, project management, business analysis, governance, or a related function.Experience working with project portfolios, governance frameworks, reporting, and project documentation.Strong experience in data analysis, reporting, and project performance monitoring.Technical SkillsAdvanced Microsoft Excel skills, including:Structured tablesNested formulasINDEX/MATCH or XLOOKUPPivot TablesConditional formattingData validationStrong Microsoft PowerPoint skills.Ability to develop clear and professional executive-level reports and presentations.Experience with project management, reporting, or dashboard platforms is an advantage.Language RequirementsFluent in Arabic and English, both written and spoken.Ability to prepare formal reports, presentations, and business communications in both languages.Key CompetenciesStrong attention to detail and data accuracy.Excellent analytical and problem-solving skills.Strong stakeholder management and follow-up skills.Ability to challenge inaccurate, incomplete, or delayed information professionally.Strong organizational and time-management skills.Ability to work under tight deadlines and manage multiple priorities.Strong written and verbal communication skills.High level of accountability and ownership.Ability to communicate effectively with senior stakeholders and project teams.
