We're looking for someone solution-focused, goal-oriented, and resilient: a leader who rises to challenges with clarity, compassion, and confidence.You'll work hand-in-hand with clinical leaders and the Patient Access Director to align daily operations with Kolmac's mission — helping individuals and families heal through evidence-based addiction and behavioral health care.If you're energized by leading teams, solving problems, and making a real difference in people's lives, we want to meet you.What You'll DoOperational Oversight & Practice EfficiencyLead day-to-day clinic operations at our Philadelphia locationKeep the site clean, professional, and welcomingManage inventory of office, medical, and clinical suppliesEnsure smooth workflows from front desk to back office, aligned with Kolmac standardsProactively adjust operations to maintain peak performanceProvider & Patient AccessCoordinate provider schedules and support onboarding of new providersMonitor appointment availability and maximize same-day accessEvaluate staffing and scheduling to meet patient demand and financial goalsManage smooth transitions during provider departures or additionsPatient Experience & Service RecoveryServe as a key point of contact for resolving patient concernsDrive service recovery and continuous improvement effortsUse operational data (patient flow, no-show rates) to guide improvementsStaff Supervision & DevelopmentSupervise all non-provider staff — training, onboarding, performance, and payrollCoordinate staffing schedules to support efficient patient carePartner with clinical leadership to identify training needsFoster team engagement, development, and accountabilityLead hiring, promotion, and termination decisionsCompliance & Facility ReadinessEnsure compliance with health, safety, and regulatory standardsUphold Kolmac's Code of Conduct and internal policiesPartner with Compliance and Legal on risk, privacy, and regulatory mattersTrain staff on compliance and emergency preparednessFinancial Performance & Revenue CycleOversee collection of copays, deductibles, and balancesTrack cash collections, payer mix, and accounts payableMaintain accurate financial documentation and reportingCollaborate with centralized billing to strengthen revenue cycle performanceLeadership & CommunicationRun regular team meetings on goals, updates, and policy changesBe a visible, supportive leader who builds strong provider-staff relationshipsPlusStep in to support staff during peak times or absencesTake on other duties to keep clinics running smoothlyThe Logistics
