Role DescriptionThis is a full-time on-site role as a Procurement & Inventory Management Executive at smoothmix in Vadodara, Gujarat. You'll own the full loop from raising a purchase order to closing it: selecting and negotiating with vendors, receiving and quality-checking goods, matching invoices before they're paid, and keeping the stock master accurate. You'll set reorder points so no hero SKU ever runs dry, run the cycle counts that catch variance early, and report on stock health so decisions get made before a shortage happens, not after.Work TimingsMon - Sat10:30 AM - 6:30 PMQualificationsStrong analytical and numerical skillsAbility to prioritize and multitask effectivelyExcellent organizational and time management skillsBachelor's degree in Supply Chain, Commerce, Business Administration, or related field3+ years of experience in procurement or inventory management preferredKey ResponsibilitiesDemand Planning & Inventory ControlSet and maintain reorder points, safety stock, and min/max levels for every SKU's raw material, packaging, and consumablesRun weekly cycle counts against system records and flag variancesAnticipate volume ramps and pre-position stock ahead of demand spikesMaintain buffer stock on long-lead and single-source materialsProcurement & PurchasingRaise, track, and close purchase orders against approved requisitionsNegotiate price, payment terms, and MOQs with suppliersMaintain 2+ qualified suppliers per critical materialBenchmark and consolidate orders to cut per-unit and freight costInbound & Delivery ManagementReceive and verify inbound deliveries against PO for quantity, quality, and documentsRun quality checks on raw material and reject or quarantine off-spec stockCoordinate dispatch timing with suppliers and productionRaise and track short-supply or damage claims with vendorsInvoicing, Documentation & ComplianceMatch every supplier invoice against its PO and GRN before approving paymentVerify GST fields, HSN codes, and invoice serials on inbound invoicesEnter verified purchase and inventory transactions into TallyMaintain a filed, searchable archive of POs, GRNs, invoices, and vendor contractsReporting & Systems HygieneProduce weekly and monthly stock, consumption, and reorder reportsReconcile physical stock to system records monthlyKeep the stock master, vendor master, and PO tracker clean and currentFlag stockout risk, cost spikes, or vendor issues early, with a proposed fixCost & Continuous ImprovementTrack landed cost per SKU and surface drift that threatens marginDocument and refine procurement and inventory SOPsRate suppliers on price, quality, reliability, and lead timeRequired SkillsPurchase-order managementVendor negotiationInventory control: reorder points, safety stock, cycle counting3-way matching (PO-GRN-Invoice)Landed-cost analysisGST invoice verificationAttention to detailListening and questioning skillsRequired KnowledgeProcurement and supply-chain fundamentals: lead time, MOQ, safety stock, EOQInventory accounting basics and GST/HSN rules for purchasesTally and Microsoft Excel/Google SheetsFamiliarity with ERP or inventory software (Odoo, Zoho Inventory, Unicommerce) is a plusQuality parameters for raw materials is a plus, will be trained internallyOur website: www.smoothmix.co
