Apply & track with Apply EdgePosition Overview: The Procurement Manager leads global sourcing, vendor management and purchasing operations, ensuring the company and all divisions receive timely, cost-effective and high-quality goods, products and services, including luxury and exclusive products.The Procurement Manager leads sourcing, vendor and contract management negotiations, all purchasing approvals and operations, and product expansion for the company, wherever the company has assets under management locally and internationally.The role manages the procurement team, oversees supplier relationships and contracts, and drives cost optimisation without compromising the quality or discretion required.
Roles and Responsibilities
Insourcing & Vendor Management:● Actively research, study, identify, evaluate, and manage all vendors for all local and international recurring and non-recurring, luxury and exclusive products, goods and services● Negotiate new contracts, pricing, terms and conditions, and implement contracts with vendors where none currently exist, to secure best value and the most efficient delivery systems, while maintaining quality, discretion, and flexibility standards● Constantly maintain and update a vetted vendor network and database across relevant categories and regions● Evaluate vendor performance and provide recommendations for any changes of vendors with better or more suitable alternatives● Attend major international luxury trade fairs, exhibitions and industry events where budget and contract authority is required to negotiate or sign vendor agreements on the spot, complementing the Product Specialist(s)' coverage of local and regional previews for discovery purposesProcurement Operations:● Oversee purchase order administration, approvals and expense/price optimisation● Manage recurring and non-recurring procurement items across all divisions, locally and internationally from initiation to delivery● Research, study, source and coordinate innovative gift packaging and luxury product procurement● Oversee and coordinate the importation or exportation of any goods or products in or out of the Kingdom of Saudi Arabia, in coordination with the International Operations, Private Affairs and Private Office Local divisions● Always be available to personally approve or execute time-sensitive, high-value, or highly discreet procurement requests directly from Executive Management or Director of Support ServicesBudget & Contract Management:● Develop and manage the procurement budgets, tracking spend against plan and utilising historical expenditure figures to identify core areas for price optimisation● Review and negotiate all service provider contracts, ensuring favourable terms and compliance● Maintain, prepare and present procurement records and reporting for the Director of Support Services● Reconcile all procurement invoices with the Finance teamTeam Management:● Lead and develop the Product Specialist(s), ensuring deep market study and penetration of pricing, availability, seasonality, competitive rates, and constant research and awareness of new trends, products and services available locally within KSA and internationally● Set direction and priorities for the Product Specialist(s)' market trend research, including social media scouting and trade show/exhibition attendance, and review their findings to decide on new vendor relationships or product lines● Produce monthly products, goods and services reports, for internal use only, made available to Heads of Department across all divisions and properties, consolidating market trend findings surfaced by the Product Specialist(s) (including social media scouting, trade shows and vendor research) on new products, market trends, services and offers to promote and bolster new and innovative items, goods and service availability● Procurement processes are followed consistently, and ERP data is maintained accuratelyAcademic / Professional Qualifications:● Bachelor's degree in Business Administration, Supply Chain Management, or a related field procurement certification (e.g., CIPS) is an advantageRelevant Experience:● Minimum 7 years of procurement or vendor management experience, ideally within a luxury, hospitality, or private household environment● Proven experience sourcing and procuring high-end, exclusive or bespoke products locally and internationally● Strong negotiation and contract management skills● Fluency in Arabic and English required; additional languages are a plusJob Competencies:Technical:● Sourcing and vendor management● Contract negotiation● Budget and cost optimisation● ERP/procurement systemsPersonal Competencies:● Discretion and confidentiality● Strong negotiation skills● Attention to quality and detail● Cultural sensitivity
