B, BL)3–5 years’ experience in Procurement, Supply chain, legal operations, or vendor managementExperience working within healthcare or regulated environments is an advantageDuties and ResponsibilitiesVendor Registration, Vetting and Database ManagementRegister, vet and maintain an approved database of vendors across relevant service categories.Ensure vendors have valid statutory, professional, regulatory and other required compliance documentation.Conduct periodic vendor revalidation and database cleansing to ensure records remain current and compliant.Maintain vendor eligibility and due diligence records. 2. Legal Coordination and Contract ReviewCoordinate the submission of contracts to the Legal team for review and vetting.Track legal review timelines and follow up to ensure timely completion and execution.Ensure approved legal comments and revisions are incorporated before contract finalisation.Maintain records of contracts under review, negotiation, approval and execution.Coordinate stakeholder feedback throughout the contract review and negotiation process.Support compliance with regulatory and internal policy requirements. 3. Procurement Support and Vendor CoordinationSupport contract administration and procurement documentation.Coordinate vendor communications and follow up on procurement requirements.Ensure procurement documentation is complete and compliant before vendor engagement.Collaborate with the Legal team to address vendor risks.Ensure contracts align with approved terms, budgets and internal controls. 4. Stakeholder Coordination and Relationship ManagementServe as liaison between Legal, and all internal and external stakeholdersCoordinate stakeholder engagement throughout contract review, negotiation, approval and renewal processes.Respond to contract related enquiries and documentation requests.Support departments in understanding contract obligations and documentation requirements.Promote adherence to contract management policies and procedures across the organisation. 5. Contract Performance and ReportingTrack contractual obligations, deliverables, milestones, expiry dates and renewal requirements.Monitor vendor performance against agreed delivery timelines, service quality and contractual terms.Escalate performance issues, compliance gaps and contractual risks.Prepare periodic reports on contract status, vendor performance, compliance and outstanding actions.Support audits relating to procurement, vendors and contracts by maintaining complete and accessible records and ensuring compliance with organisational policies, procedures and applicable regulatory requirements.
