About the Role

We are looking for a proactive and detail-oriented Internal Procurement Officer to support Reef Group and its subsidiaries by managing and following up on local procurement activities. The successful candidate will be responsible for processing approved purchase requests, coordinating with local suppliers and internal stakeholders, and ensuring the timely delivery of products, materials, and services in line with approved specifications, quantities, policies, and timelines.

Key Responsibilities

Process approved internal procurement requests from different departments in accordance with established policies and procedures.Review purchase requests and ensure that specifications, quantities, required approvals, and supporting information are complete before initiating procurement activities.Communicate with local suppliers to obtain quotations and required commercial and technical information.Prepare and compare quotations based on price, quality, delivery lead time, payment terms, and other relevant purchasing criteria, and submit recommendations for approval.Follow up on the issuance of purchase orders and ensure accuracy of specifications, quantities, prices, and agreed terms.Coordinate with local suppliers to monitor order status, delivery schedules, and compliance with agreed timelines.Coordinate with warehouses and requesting departments to ensure the proper receipt of materials and services in accordance with approved requests.Follow up on delays, discrepancies in specifications or quantities, pricing issues, and other procurement-related concerns, and escalate them to the Internal Procurement Manager.Maintain and update purchase requests, purchase orders, supplier information, and delivery status in the relevant systems and records.Support the evaluation of local suppliers based on quality, pricing, delivery performance, and responsiveness.Coordinate with Finance to follow up on supplier invoices, supporting documents, and payments in accordance with approved procedures.Prepare periodic reports on purchase requests, open orders, challenges, and procurement-related observations.Ensure compliance with the delegation of authority matrix, internal controls, and procurement approval processes.Maintain accurate documentation of quotations, purchase orders, invoices, and other procurement-related records.Other Responsibilities:Perform any other duties and responsibilities related to the position as assigned by the direct manager or their delegate.Required Qualifications:Diploma or Bachelor's degree in Business Administration, Supply Chain, Procurement, or a related field.1–2 years of experience in procurement, purchasing, or a related field.Required Skills & Competencies:Ability to accurately process and follow up on internal procurement requests.Good communication and negotiation skills when dealing with local suppliers.Ability to compare quotations and analyze prices and basic purchasing terms.Good understanding of the procurement cycle, purchase orders, invoices, and approval processes.Strong follow-up and coordination skills with internal departments, warehouses, Finance, and suppliers.Good attention to detail and ability to maintain accurate procurement records.Ability to prioritize tasks and work effectively in a fast-paced environment.Why Join Us?Join Reef Group and be part of a fast-growing organization committed to operational excellence and continuous development.
