We are looking for an experienced Project Coordinator / Program Analyst to support execution-phase projects. If you thrive in structured environments, enjoy turning ambiguity into clarity, and can balance project management with stakeholder coordination, we want to connect.Role OverviewYou'll embed directly with the project team, serving as the operational backbone for a Project Manager. Your job is to make sure nothing falls through the cracks: schedules are current, decisions are documented, action items are closed, and leadership always has what they need.Day-to-day, you'll be coordinating across contractors, corporate teams, and functional leadership; independently, professionally, and with the kind of follow-through that earns trust fast.Core Responsibilities Maintain and update project schedules in Smartsheets with the rigor required in an active construction environmentCapture and track meeting notes, decisions, risks, and action items across all project workstreamsSupport the Project Manager in tracking open items, flagging risks, and ensuring leadership has current, accurate informationBuild and maintain Work Breakdown Structures (WBS) and manage entries in SmartsheetsReview purchase orders and support budget tracking, contract oversight, and payment application review across multiple active vendorsAssist with preparation and review of Project Funding Requests (PFRs) and project memosManage document control via SharePoint — distributing for review, tracking timelines, compiling comments, and issuing responses to contractorsLiaise with corporate personnel and contractors to resolve questions and follow up on outstanding itemsCoordinate and facilitate project meetings, maintain agendas, and hold the team accountable to commitmentsIdeal Candidate Profile3–8+ years in project coordination, program analysis, or a similar structured execution roleExceptionally organized and driving - you don't just track things, you build systems that keep teams on trackDirect communicator who can hold their own in client meetings and push for answers without being asked twiceComfortable supporting a PM who is getting their bearings - you bring structure, they bring directionProficient in Smartsheet, Excel, PowerPoint, and SharePoint1099 / consulting experience preferredIndustry experience in higher education, mining, energy, healthcare, or regulated environments is a plus.
