Reporting directly to the Senior Project Manager, this key role is responsible for managing coordination, scheduling, quantity surveying, reporting, and quality control across all phases of the project — from pre-construction through to final close-out. The Project Coordinator is a hybrid between the site and office scopes which encompasses subcontractor site management, site set-up, cost tracking, schedule performance, and reporting. The Project Coordinator will participate in developing specific procedures, templates, trackers, and project dashboards.Responsibilities The Project Coordinator role is at the center of project success by working with professionalism and drive to achieve project completion and stakeholder satisfaction. Coordinate with Stakeholders: Proactively engage with subcontractors, consultants, clients, and owners to communicate timelines, resolve issues, and maintain smooth workflows.Facilitate Communication: Attend project meetings, document minutes, prepare updates, and track key decisions and action items to ensure clear and consistent communication.Review Contract Documentation: Review construction drawings to understand scopes of work, schedule, costs, details, and conduct quantity takeoffs.Procurement of Subcontractors: Review construction drawings and prepare scopes of work for subcontractors for internal review.Oversee Shop Drawing Coordination: Manage review and approval workflows for shop drawings, ensuring accuracy and compliance with design intent.Ensure Safety & Quality Compliance: Maintain safety and QA/QC records, support the implementation of site-specific Safety & Quality Plans, and monitor performance KPIs.Provide Strategic Insights: Deliver accurate data analysis and project metrics to support informed, real-time management decisions.Drive Documentation Excellence: Interpret contract documents and drawings with precision; prepare procurement lists, RFIs, permits, change orders, and other key submissions.Track Project Performance: Monitor productivity, costs, and schedule adherence — ensuring alignment with project objectives.Proactively Resolve Challenges: Identify and resolve construction, scheduling, and design issues early to prevent delays or budget overruns.Oversee Financial Reporting: Prepare job cost reports, assist in month-end reconciliations, and ensure accuracy in all financial tracking and reporting.Manage Change Processes: Identify change events, prepare and track change notices, and present their impacts to the Project Manager for effective decision-making.Maintain Regulatory Compliance: Organize and manage all project files and correspondence, ensuring compliance with internal standards and external regulatory requirements.Support Project Leadership: Work alongside the Project Manager and Site Superintendent to streamline workloads and enhance overall project execution.Project Pursuits: Prepare technical documentation for project pursuits and bids. Review and track project pursuits tracker.Project Closeout: Manage project close-out, including deficiency reviews, deficiency walkdowns, coordination with subcontractors, close-out documentation.Thrive in Fast-Paced Environments: Demonstrate flexibility, adaptability, and strong problem-solving abilities in dynamic project conditions.Embrace Opportunities: Embrace new opportunities for growth within the company, to continuously progress career.Travel: This role requires traveling between various job sites, and offices.Required QualificationsEducation: Bachelor’s degree or College Diploma in Civil Engineering, Construction Management, or a related field.Industry Experience: 2+ years of experience within the construction industryProject Expertise: Demonstrated success in managing buildings projects, with proven strengths in cost control, scheduling, and on-time project delivery.Technical Proficiency: Strong ability to interpret and apply construction drawings, specifications, and contract documents with precision.Software Skills: Proficient in Microsoft Excel, Word, Project, Bluebeam, and other relevant project management software tools.Communication Skills: Excellent verbal and written communication abilities, capable of presenting technical information clearly to diverse audiences and fostering transparency across teams.Interpersonal Strength: Skilled at building collaborative relationships with stakeholders, subcontractors, consultants, and internal teams, promoting a cohesive and productive work environment.Problem Solving & Critical Thinking: Strong analytical mindset with the ability to anticipate challenges, identify root causes, and implement effective solutions under pressure.Detail-Oriented & Organized: High attention to detail with strong organizational skills, ensuring accurate reporting and timely execution of tasks.Adaptability & Initiative: Self-motivated and able to manage shifting priorities in fast-paced, deadline-driven environments.
