The Project Manager is responsible for managing the flow of creative work from intake through final delivery across a high-volume, fast-paced environment supporting the AAA brand. This role coordinates creative requests, licensing submission support, merchandise initiatives, talent-related projects, logo development, and related brand deliverables across internal teams and external partners.This position serves as a key operational partner to Creative, helping projects move efficiently from concept through completion while ensuring alignment on priorities, timelines, approvals, budgets, and deliverable requirements. The Project Manager works closely with designers, creative leads, licensing, merchandise, talent, marketing, production partners, and other stakeholders to keep work organized, on track, and executed to a high standard.Key ResponsibilitiesProject Management & Cross-Functional CoordinationEstablish and maintain strong working relationships across AAA and related business functions, including Creative, Licensing, Consumer Products, Merchandise, Talent, Marketing, Communications, Digital, Production, and other stakeholders.Manage projects through all phases of the creative, approval, licensing, and production process to ensure timelines, budget requirements, and job specifications are met.Coordinate project intake, timelines, milestones, deliverables, and approvals across multiple concurrent assignments, ensuring clear communication and accountability at every stage.Partner closely with designers and creative leads to define project scope, deliverable requirements, production approaches, and workflow needs.Maintain clear project documentation, status updates, schedules, and action items so stakeholders have visibility into priorities, next steps, risks, and dependencies.Keep current with AAA programming, talent, events, brand priorities, merchandise needs, and business objectives to support informed planning and effective project coordination.AAA Creative & Brand SupportManage the intake and coordination of creative requests supporting the AAA brand across marketing, digital, social, events, merchandise, talent, licensing, and other business needs.Help translate stakeholder requests into clear creative briefs, project plans, timelines, and deliverable lists.Coordinate the development and review of AAA brand assets, including campaign creative, promotional materials, merchandise graphics, talent-related creative, logos, and other visual applications.Partner with creative leads to ensure work is aligned with approved brand direction, usage requirements, project scope, and stakeholder expectations.Track feedback and approvals, consolidate comments, and help drive timely decisions across internal teams and external partners.Identify potential creative, operational, or approval issues early and help develop practical solutions that protect quality and delivery timelines.Licensing Submission SupportCoordinate the preparation, organization, and routing of creative materials required for licensing submissions and approvals.Maintain submission trackers, deadlines, asset requirements, status updates, and approval records for active licensing projects.Partner with Licensing, Creative, Merchandise, Legal, and other stakeholders to confirm that submissions are complete, accurate, properly formatted, and delivered on time.Help manage revisions, comments, and follow-up requests throughout the licensing review process.Maintain organized records of approved assets, supporting materials, and final submission files.Merchandise, Talent & Logo DevelopmentSupport project management for AAA merchandise initiatives from initial request through concept development, review, approval, production, and final delivery.Coordinate creative needs related to talent, including asset requests, approvals, usage considerations, and time-sensitive deliverables.Help organize and manage logo development projects, including creative briefs, exploratory concepts, review rounds, approvals, final files, and usage documentation.Coordinate with designers, merchandise partners, talent representatives, licensing stakeholders, and vendors to keep projects moving and expectations aligned.Track project-specific requirements, including artwork specifications, product applications, talent or partner approvals, production deadlines, and final deliverables.Production Support & ExecutionObtain estimates and help secure vendors based on quality, cost, service, and turnaround time when outside production support is needed.Interface with external vendors and production partners, staying current with industry practices and helping resolve production-related issues quickly and effectively.Coordinate print, digital, merchandise, event, and other production deliverables as assigned.Address potential production or execution issues before they impact delivery, helping teams stay ahead of risks and maintain momentum.Help ensure final deliverables are produced accurately, on brand, on time, and within scope across a range of creative applications.Workflow Optimization & AI-Enabled OrganizationUse AI tools and workflow systems in practical ways to improve request intake, job organization, task tracking, status visibility, and overall project efficiency across the team.Help the team adopt new tools and ways of working that improve project tracking, communication, and operational clarity without disrupting creative quality or delivery.Support stronger visibility into project progress, next steps, approvals, and resource needs by maintaining accurate timelines, updates, and tracking systems.Identify opportunities to simplify recurring processes, improve documentation, and create greater consistency across AAA creative workflows.QualificationsFluency in Spanish is required.Minimum of 4 years of experience in project management within an agency, in-house creative department, design studio, entertainment company, sports property, consumer products organization, licensing environment, or related fast-paced creative setting.Thorough knowledge of creative project and production management principles and practices, with working knowledge of print, digital, merchandise, and brand asset workflows.Proven experience establishing and maintaining schedules, budgets, approvals, and deliverables for multiple concurrent, deadline-driven projects through all phases of design, review, licensing, and production.Experience supporting licensing submissions, merchandise creative, talent-related projects, logo development, or other brand asset development is strongly preferred.Proficiency in Microsoft Word, Excel, Outlook, and project tracking or workflow management tools; familiarity with AI-assisted productivity tools is a plus.Bachelor’s degree preferred.Excellent organizational, negotiation, communication, and problem-solving skills.Strong interpersonal skills, including the ability to communicate effectively and persuasively with a wide range of internal and external partners.Ability to manage multiple priorities, stay detail-oriented, and meet deadlines in a fast-paced, team-oriented environment.Reliable, punctual, self-directed, and flexible in responding to changing priorities and business needs.A collaborative, solutions-oriented approach and a strong interest in supporting the AAA brand through thoughtful, organized, and high-quality creative execution.
