Purpose:Responsible for coordinating Technical Training administration activities, with a focus on financial coordination for payables and receivables, marketing support, data reporting, resource planning, compliance, and documentation. The role also supports optimal seat utilization across training programs to maximize efficiency and revenue, while ensuring effective coordination with customers and internal stakeholders.The Project Officer is an effective communicator and a key team member within Technical Training, serving as a focal point for interdepartmental and inter-divisional coordination.Accountabilities:Ensure accurate and timely invoices in line with contract agreements and budget limits; manage purchase orders and coordinate payments.Generate and track proposals, agreements, and customer invoices and provide regular updates for management review.Maintain financial accuracy in relevant systems, monitor revenue and costs, and resolve billing queries or disputes promptly.Plan, schedule, and manage in-house and outsourced training programs based on demand and resource availability.Optimize seat utilization by monitoring course fill rates and taking proactive action to address gaps.Allocate instructors effectively and maintain up-to-date training calendars, enrolments, and schedules.Monitor demand trends and ensure compliance with CAR/Part-147 requirementsSupport the promotion of training programms, maintain course visibility, and act as the focal point for customer enquiries, nominations, and coordination.Liaise with customers and external providers to deliver efficient and cost-effective training solutions.Support proposals, client engagement, and course uptakeMaintain accurate training records, documentation, and audit readinessEnsure compliance with internal policies, regulatory standards, and operational requirementsAssist in examinations preparation, schedule and invigilation.Assist with examination preparation, scheduling, and invigilation.Plan, schedule, and coordinate Basic 147 training courses including classroom and workshop timetables, ensuring compliance with GCAA CAR-147 requirements and training duration specifications.Maintain and update course attendance records for Basic 147 trainees, ensuring accurate tracking of attendance, punctuality, and course participation across all training modules.Manage student files and records including Student Declaration forms, Verification of Student Course Completion, and transcripts for Basic 147 graduates.Collect, compile, and submit student feedback on instructors, course content, facilities, and overall training experience on a regular basis; analyze feedback trends and report findings to training management.Prepare and submit weekly training progress reports including course status, attendance summary, performance issues, and schedule updates for management review.Prepare and submit monthly training activity and financial reports covering student enrolments, course completions, examination results, resource utilization, revenue, and cost analysis.Coordinate and track examination schedules for Basic 147 students, including preparation of examination timetables, briefs, and post-examination documentation.Prepare and reconcile monthly financial submissions including training revenue, invoicing accuracy, course cost reconciliation, and budget tracking for Basic 147 programs.Monitor course performance and student progress, maintaining records of academic performance and flagging at-risk students for intervention.Maintain data accuracy and assist with updates and data entry for the Training Management System (TMS) and Learning Management System (LMS).Prepare reports on training activity, resource utilization and financial performance on a regular basis and whenever neededPrepare regular and ad hoc reports on training activity, resource utilization, and financial performance.Coordinate logistics, including scheduling, facilities, resources, and travel, visa, and accommodation arrangements when required.Support internal coordination, meeting preparation, and follow-upsQualifications & Education:Related diploma or bachelor’s degree in business administration, Finance, Computer Science, or a related field; or job-specific experience within a training school, airline, or MRO environment.Experience:Minimum of 5 years’ experience in administration, finance support, or training coordination within a training school, airline, or MRO environment.Strong experience in administration, planning, organization, customer service, and marketing support.Training & Knowledge:Strong administrative and organizational skillsGood understanding of invoicing, purchase orders, and payment processesAttention to detail and accuracyExcellent communication, coordination, and interpersonal skills.Ability to manage multiple tasks and meet deadlinesProficiency in Microsoft Office (especially Excel); experience with ERP/LMS systems is an advantageUnderstanding of aviation regulations, such as UAE GCAA or EASA requirements, and Part-145/Part-147 training regulatory requirements.Knowledge of Arabic is an advantage
