We are looking for a practical and highly organized professional who can take ownership of this work from initial opportunity through successful delivery and closeout.The OpportunityWe are seeking a hands-on Projects Manager to lead Seraj’s project portfolio and build the practical operating systems required to deliver it. As many of these processes are being established for the first time, the successful candidate must be capable of designing workflows, controls, templates, reporting tools, and operating procedures—not simply following an existing project-management system.This is a hands-on position. The successful candidate will not only prepare plans and reports; they will coordinate clients, translate scopes into executable work, build budgets and quotations, recruit and manage temporary project teams, monitor quality and progress, solve operational problems, and ensure that commercial and financial obligations are completed.The role is well suited to someone who enjoys building structure in a growing organization and can move comfortably between client conversations, detailed operational data, field-team coordination, and management reporting.Key ResponsibilitiesProject planning and deliveryManage multiple concurrent projects from initial inquiry through planning, execution, delivery, and closeout.Convert client briefs, requests for quotation, and work orders into clear execution plans, timelines, responsibilities, budgets, and quality controls.Establish project trackers, workflows, documentation, and reporting routines.Monitor deliverables, deadlines, risks, dependencies, and outstanding decisions.Respond quickly when project requirements, volumes, schedules, or field conditions change.Maintain accurate project records and preserve supporting evidence for key decisions and deliverables.Ensure completed projects are properly closed operationally and financially.Client and stakeholder managementAct as the primary operational contact for clients, partners, internal management, supervisors, and field personnel.Lead or support kickoff meetings, briefings, progress reviews, quality discussions, and closeout meetings.Clarify incomplete or conflicting requirements before delivery begins.Prepare professional correspondence, meeting notes, progress reports, escalation summaries, and management recommendations.Manage expectations transparently while protecting Seraj’s commercial and contractual position.Build dependable working relationships with stakeholders across different levels of seniority.Commercial preparation and costingReview new opportunities and assess their feasibility, operational requirements, risks, and resource needs.Research appropriate market rates for field personnel, supervisors, transportation, and other delivery costs.Prepare internal cost models, delivery budgets, pricing recommendations, and client-facing quotations.Test whether proposed pricing realistically reflects the complexity and effort required.Identify assumptions, exclusions, reimbursement requirements, cash-flow exposure, and margin risks.Support bid, proposal, and tender preparation.Track opportunities and follow up on pending awards, approvals, and purchase orders.Field-force recruitment and coordinationPlan workforce requirements by project, location, skill, schedule, and expected productivity.Coordinate recruitment and selection of field researchers, mystery shoppers, auditors, trainers, supervisors, and temporary project personnel.Screen applicants against project-specific eligibility and quality requirements.Organize worker registration, contracts, credentials, briefing materials, task allocation, and onboarding.Maintain accurate worker rosters and assignment records.Communicate instructions clearly through appropriate channels and follow up on attendance and delivery.Address non-performance, dropouts, reassignment needs, and capacity shortages promptly and fairly.Field operations and quality controlTranslate complex client instructions into clear, practical task guidance.Brief field teams on project scenarios, evidence requirements, schedules, data-protection rules, and rejection risks.Monitor assignments, submissions, validation results, returned work, rejections, and approved output.Investigate recurring quality problems and implement corrective actions.Coordinate rework and resolve discrepancies between assignment, submission, validation, and payment records.Develop performance measures for field personnel and use evidence to guide future selection.Ensure client data and project evidence are handled securely and confidentially.Financial and contractual follow-throughTrack project value, completed work, approved output, expected revenue, operating expenditure, and outstanding receivables.Reconcile accepted deliverables to the individuals who performed the work.Prepare evidence for worker-payment authorization and settlement.Monitor purchase orders, invoices, collections, worker payments, and unresolved financial items.Coordinate contracts and required signatures with management and project personnel.Escalate scope changes, unfunded requirements, margin deterioration, and cash-flow risks.Maintain a clear distinction between work assigned, work submitted, work accepted, amounts invoiced, and cash received.Process improvement and digital operationsIdentify recurring manual work, control weaknesses, and information gaps in Seraj’s operations.Design practical workflows, templates, trackers, dashboards, and automations.Improve the reliability of recruitment, onboarding, task allocation, progress monitoring, quality control, and payment reconciliation.Use modern productivity and AI-assisted tools responsibly to improve speed and quality.Document processes so that they can be repeated and transferred to other team members.Protect confidential, personal, and client-owned information when using digital tools.Support the evaluation and development of new service lines, particularly operational enablement, training, and technology-assisted business solutions.Management reportingMaintain a reliable view of active projects, pipeline opportunities, deadlines, risks, revenue expectations, and required decisions.Provide concise and evidence-based updates to management.Present options and recommendations—not only problems.Escalate material issues early, with their likely impact and a proposed response.Help management prioritize work across active delivery, commercial opportunities, and internal development.Required QualificationsAt least 3–5 years of relevant experience in project delivery, field operations, research operations, consulting, business services, or a similar environment.Demonstrated experience managing several projects or workstreams simultaneously.Proven ability to create practical operating systems where established processes, templates, and tools do not yet exist.Strong written and verbal communication skills in Arabic and English.Strong working knowledge of Microsoft Excel, Word, PowerPoint, and collaborative document-management tools.Ability to build and manage detailed trackers, budgets, schedules, and progress reports.Experience coordinating external workers, vendors, freelancers, or distributed teams.Strong numerical judgment and the ability to understand project economics.High attention to detail, particularly when handling assignments, identities, deliverables, and payments.Ability to work independently, make sound operational decisions, and escalate issues appropriately.Availability to coordinate with field teams when project schedules require time-sensitive follow-up.Preferred QualificationsBachelor’s degree in project management, business administration, operations, industrial engineering, information systems, research, or a related discipline.PMP, PRINCE2, CAPM, Agile, Lean, or another recognized project-management qualification.Demonstrated experience building a project or operations function in a startup, small business, new department, or similarly unstructured environment—including the creation of workflows, controls, templates, reporting systems, and standard operating procedures.Experience in market research, mystery shopping, audits, inspections, surveys, data collection, or field-force management.Experience preparing quotations, commercial proposals, tenders, or project costings.Familiarity with quality-control and data-validation processes.Experience with Google Forms, Google Sheets, Microsoft 365, SharePoint, Power BI, or similar tools.Experience creating dashboards, automations, or low-code operational solutions.Familiarity with AI-assisted workflows and their responsible use in business operations.Understanding of Saudi labor practices for temporary or project-based personnel.Familiarity with Saudi data-protection requirements and the handling of personal information.Experience working with nonprofit, government, semi-government, or research-sector organizations.
