Working closely with the Property Manager and Assistant Property Manager, this role helps ensure smooth day-to-day property operations, exceptional tenant service, accurate recordkeeping, and efficient financial processing. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities across a multi-property portfolio.Duties & ResponsibilitiesProvide administrative support for the day-to-day operations of a portfolio of medical office and commercial properties.Serve as a primary point of contact for tenant inquiries, work orders, service requests, and general property communications.Assist with tenant onboarding, move-ins, move-outs, lease documentation, and maintaining property records.Coordinate with vendors and contractors to schedule services, track work completion, and maintain compliance documentation.Process invoices, prepare purchase orders, and support accounts payable and accounts receivable functions.Assist with monthly reporting, budget tracking, tenant billings, and CAM reconciliations.Maintain contract files, insurance certificates, vendor records, and other property-related documentation.Support property inspections, tenant events, and special projects as needed.RequirementsAssociate's or Bachelor's degree preferred or equivalent combination of education and experience.1+ years of commercial real estate, property management, administrative, or related experience preferred.Proficiency with Yardi required.Strong financial and administrative experience, including invoice processing, accounts payable, accounts receivable, budget tracking, and financial reporting support.Excellent organizational, customer service, and communication skills.Strong attention to detail and ability to manage multiple assignments simultaneously.Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.Valid driver's license and ability to travel regularly between assigned properties.
