Role DescriptionA Property Officer is responsible for supporting the day-to-day management, administration, maintenance, tenant services, inspections, and operational performance of residential, commercial, industrial, or mixed-use properties. The role coordinates with property owners, tenants, contractors, suppliers, maintenance teams, security personnel, and internal departments to ensure properties remain well maintained, safe, compliant, and efficiently operated.Key responsibilities include managing daily property operations and administrative activities; maintaining accurate property, tenant, lease, maintenance, inspection, payment, and service records; responding to tenant inquiries, complaints, maintenance requests, and service issues; coordinating property inspections, move-ins, move-outs, handovers, routine checks, and property-condition assessments; monitoring common areas, utilities, HVAC systems, electrical systems, plumbing, lighting, elevators, security systems, access-control systems, and other building infrastructure; receiving and recording maintenance requests and coordinating repairs with contractors, technicians, suppliers, and maintenance teams; following up on work orders and ensuring maintenance issues are resolved efficiently; inspecting completed maintenance and repair work and reporting outstanding issues; coordinating cleaning, landscaping, pest control, waste management, security, parking, and other property services; obtaining and reviewing quotations from contractors and suppliers where required; monitoring contractor performance, service quality, schedules, and deliverables; assisting with property budgets, operating expenses, invoices, purchase orders, utility costs, service charges, and other financial administration; monitoring rental payments, deposits, refunds, and property-related transactions where applicable; maintaining lease records, renewal schedules, tenancy documentation, notices, certificates, and related administrative information; maintaining records of permits, licenses, insurance documents, safety certificates, maintenance contracts, and compliance requirements; supporting property audits, regulatory inspections, fire-safety checks, health and safety assessments, and risk-management activities; identifying property defects, hazards, security concerns, maintenance problems, and operational risks and escalating them appropriately; preparing property reports, occupancy summaries, maintenance reports, expense reports, inspection records, and management updates; coordinating with property owners, tenants, agents, contractors, suppliers, government authorities, security teams, finance departments, and other stakeholders; supporting renovations, refurbishments, fit-outs, building upgrades, and property-improvement projects; monitoring project progress, costs, materials, workmanship, quality, and completion schedules; utilizing property-management systems, CRM platforms, maintenance-management software, digital inspection tools, smart-building technologies, IoT sensors, access-control systems, and automated workflow platforms; using property data and analytics to monitor occupancy, maintenance performance, energy consumption, service quality, operational costs, and property trends; supporting energy-efficiency, water-conservation, waste-reduction, and other sustainable property-management initiatives; maintaining confidentiality of tenant, owner, financial, contractual, and property information; and continuously improving tenant satisfaction, property condition, maintenance efficiency, cost control, safety, compliance, and overall operational performance.QualificationsDiploma or Bachelor's degree in Property Management, Real Estate, Facilities Management, Estate Management, Building Management, Business Administration, or a related discipline.Strong understanding of property operations, tenancy administration, facilities coordination, maintenance management, and customer service.Knowledge of residential, commercial, industrial, retail, or mixed-use property management is advantageous.Strong organizational, administrative, communication, and coordination skills.Ability to manage tenant requests, inspections, maintenance issues, contractors, suppliers, and operational deadlines.Knowledge of building maintenance, work orders, service contracts, facilities operations, and property inspections.Familiarity with property-management software, CRM systems, maintenance platforms, Microsoft Office, and digital documentation tools.Understanding of leases, rental payments, deposits, service charges, utility management, invoices, and property-related expenses is beneficial.Knowledge of HVAC, electrical, plumbing, fire-safety, elevators, security systems, access control, and general building services is advantageous.Familiarity with smart-building technology, IoT monitoring, automated maintenance systems, digital inspections, energy-management platforms, and property analytics is beneficial.Strong problem-solving and decision-making skills.Strong contractor and supplier coordination abilities.Understanding of property regulations, workplace safety, fire safety, environmental requirements, and building compliance is advantageous.Strong attention to detail when managing property records, contracts, inspection reports, invoices, and tenant documentation.Ability to prepare operational reports, maintenance summaries, budgets, and management updates.Strong customer-service skills and ability to handle tenant concerns professionally.Ability to collaborate effectively with property managers, owners, tenants, contractors, engineers, security teams, finance departments, and other stakeholders.Relevant property-management, facilities-management, real-estate, health-and-safety, or building-management certifications are advantageous.High level of professionalism, reliability, integrity, accountability, and attention to detail.Strong commitment to property quality, tenant satisfaction, safety, compliance, operational efficiency, and continuous improvement.
