Role DescriptionA Property Officer is responsible for supporting the management, administration, maintenance, and daily operations of residential, commercial, industrial, or mixed-use properties. The role ensures properties are well maintained, efficiently managed, compliant with relevant requirements, and provide a high standard of service to tenants, owners, occupants, and stakeholders.Key responsibilities include:Managing daily property operations and administrative activities.Coordinating property inspections, maintenance, repairs, cleaning, security, landscaping, and facilities services.Monitoring property conditions and identifying maintenance, safety, security, and operational issues.Coordinating with tenants, landlords, contractors, suppliers, service providers, and internal teams.Responding to tenant inquiries, service requests, complaints, and property-related concerns.Maintaining accurate records of leases, tenancy information, inspections, maintenance activities, invoices, and property documentation.Supporting lease administration, renewals, amendments, move-ins, move-outs, and tenancy procedures.Conducting routine property inspections and preparing inspection reports.Coordinating preventive and corrective maintenance programs for buildings, equipment, utilities, and common areas.Obtaining quotations and coordinating contractors for repairs, maintenance, renovation, and improvement works.Monitoring contractor performance, service quality, schedules, costs, and compliance with agreed requirements.Supporting property budgets, expense tracking, purchase orders, invoices, and operational cost control.Monitoring utility consumption, service contracts, insurance documentation, permits, and property-related records.Assisting with property improvement, refurbishment, renovation, fit-out, and development projects.Ensuring properties comply with relevant health, safety, building, environmental, fire-safety, and operational requirements.Supporting emergency-response procedures for incidents such as equipment failures, water leaks, power outages, security issues, or other property emergencies.Maintaining professional relationships with tenants, property owners, contractors, government authorities, and service providers.Preparing property performance reports, maintenance reports, inspection records, and management updates.Using property-management software, maintenance platforms, CRM systems, digital inspection tools, and data analytics where applicable.Monitoring occupancy, property condition, service requests, maintenance costs, and operational performance.Identifying opportunities to improve property value, tenant satisfaction, operational efficiency, sustainability, and cost effectiveness.Supporting compliance inspections, audits, risk assessments, and property documentation reviews.Maintaining confidentiality of tenant, owner, financial, contractual, and property information.Assisting with property-related projects, meetings, presentations, and administrative activities.Continuously improving property-management processes, service standards, maintenance efficiency, tenant experience, and operational performance.QualificationsBachelor's degree or diploma in Property Management, Real Estate, Facilities Management, Business Administration, Building Management, or a related field.Strong understanding of property operations, building maintenance, tenancy administration, and facilities services.Knowledge of property-management procedures, lease administration, inspections, maintenance, and contractor coordination.Strong organizational, administrative, analytical, and problem-solving skills.Excellent communication and interpersonal abilities.Ability to manage tenant requests, contractor activities, inspections, documentation, and multiple operational priorities.Familiarity with property-management software, CRM systems, maintenance platforms, Microsoft Office, and digital documentation tools.Knowledge of building systems, facilities operations, health and safety, and preventive maintenance is advantageous.Understanding of relevant property, tenancy, building, fire-safety, environmental, and regulatory requirements.Strong budgeting, cost-control, quotation evaluation, invoice review, and record-management skills.Ability to coordinate effectively with landlords, tenants, contractors, suppliers, authorities, and internal teams.Familiarity with sustainability, energy management, smart-building technologies, and property analytics is advantageous.Strong attention to detail and ability to maintain accurate property records.Strong customer-service and stakeholder-management skills.High level of professionalism, integrity, accountability, discretion, and reliability.Commitment to maintaining safe, efficient, well-managed, and high-quality property environments.
