The role coordinates tenant services, inspections, maintenance, contractors, documentation, property records, and operational activities to ensure properties are well-maintained, compliant, and efficiently managed.Key ResponsibilitiesCoordinate the day-to-day administration and operation of assigned properties.Maintain accurate property records, tenant information, leases, contracts, inspection reports, and maintenance documentation.Communicate with tenants, landlords, property owners, contractors, suppliers, agents, and service providers.Handle tenant inquiries, maintenance requests, complaints, service issues, and property-related matters.Coordinate property inspections, routine checks, move-ins, move-outs, handovers, and condition assessments.Monitor maintenance, repairs, cleaning, security, landscaping, pest control, utilities, and other property services.Coordinate contractors and service providers to ensure work is completed according to requirements and schedules.Obtain quotations and support procurement of maintenance services, materials, equipment, and supplies.Monitor maintenance schedules, service contracts, warranties, licenses, and property-related renewals.Follow up on outstanding repairs, defects, work orders, and contractor activities.Assist with rental administration, lease documentation, renewals, deposits, invoices, and payment records where applicable.Prepare property reports, inspection summaries, maintenance updates, expenditure reports, and management documentation.Monitor operating expenses and support budget tracking and cost-control activities.Maintain records of utility accounts, service charges, maintenance costs, and property-related expenses.Ensure common areas, facilities, equipment, and property assets are maintained to appropriate standards.Support health, safety, fire-safety, security, environmental, and regulatory compliance requirements.Coordinate emergency maintenance, urgent repairs, incidents, and property-related emergencies.Assist with property improvement, refurbishment, renovation, and fit-out projects.Conduct site visits and identify maintenance, safety, cleanliness, security, or operational issues.Maintain accurate information within property-management, facility-management, CRM, ERP, and document-management systems.Support property audits, compliance inspections, insurance requirements, and regulatory documentation.Monitor contractor performance and address service-quality issues when required.Maintain professional relationships with tenants, owners, contractors, suppliers, and other stakeholders.Identify opportunities to improve property operations, tenant satisfaction, maintenance efficiency, service quality, and cost management.Utilize digital property-management platforms, maintenance systems, reporting tools, data analytics, and smart-property technologies where appropriate.Ensure property activities comply with company policies, contractual requirements, and applicable regulations.QualificationsBachelor's degree or diploma in Property Management, Real Estate, Business Administration, Facilities Management, Building Management, or a related field.Understanding of property administration, maintenance coordination, tenant relations, leasing, and facility operations.Strong organizational, administrative, coordination, and problem-solving skills.Excellent communication and customer-service abilities.Ability to communicate effectively with tenants, landlords, contractors, suppliers, and internal teams.Knowledge of property maintenance, building systems, inspections, repairs, and service coordination.Familiarity with property-management software, CRM systems, ERP platforms, Microsoft Office, and digital documentation tools.Understanding of leases, rental documentation, service contracts, invoices, and property records is advantageous.Strong attention to detail and ability to maintain accurate records.Good knowledge of health and safety, fire safety, building compliance, and property regulations.Strong vendor and contractor coordination skills.Ability to manage multiple properties, requests, priorities, and deadlines.Strong reporting, documentation, and time-management skills.Knowledge of smart-building technologies, property analytics, automation, and digital facilities-management systems is beneficial.Professional, reliable, organized, adaptable, and customer-focused.High level of integrity, accountability, and commitment to efficient property management.
