The role ensures that all protocol activities are carried out professionally, accurately, and in accordance with approved procedures, cultural practices, and official standards.About the RoleThe Protocol Officer supports the planning, coordination, and delivery of official visits, meetings, ceremonies, and high-level events. The role ensures that all protocol activities are carried out professionally, accurately, and in accordance with approved procedures, cultural practices, and official standards.ResponsibilitiesSupport the planning and execution of official visits, ceremonies, meetings, and protocol-related events.Coordinate arrival, reception, movement, seating, departure, and hospitality arrangements for VIPs, dignitaries, and official delegations.Prepare and maintain detailed event programmes, guest lists, seating plans, movement schedules, run sheets, and briefing notes.Coordinate with internal departments, government entities, security teams, venues, transportation providers, and other relevant stakeholders.Confirm logistical requirements, including transportation, accommodation, access permits, meeting rooms, gifts, catering, and hospitality arrangements.Conduct site visits and readiness checks before official events and visits.Support airport, hotel, venue, and meeting-room protocol arrangements when required.Ensure correct use of official titles, flags, seating order, precedence, greetings, and cultural etiquette.Brief relevant employees and service providers on their assigned roles and responsibilities.Monitor event activities and address operational issues promptly and professionally.Maintain confidentiality when handling sensitive information related to VIPs, delegations, schedules, and official activities.Prepare post-event reports, observations, and recommendations for future improvement.Maintain accurate protocol records, contact lists, event documents, and operational files.Support the development and improvement of protocol procedures, checklists, templates, and working practices.Perform other protocol-related duties assigned by the line manager.QualificationsBachelor’s degree in International Relations, Political Science, Public Administration, Event Management, Hospitality, Business Administration, or a related field.Relevant professional training in protocol, diplomacy, event management, or VIP services is an advantage.Required SkillsKnowledge of official protocol procedures, precedence, etiquette, and ceremonial practices.Experience in coordinating official visits, VIP movements, meetings, and events.Ability to prepare operational plans, run sheets, seating plans, and briefing documents.Strong understanding of event logistics, hospitality, transportation, and venue coordination.Proficiency in Microsoft Office applications.Fluency in Arabic and English, both written and spoken.Preferred SkillsStrong communication and interpersonal skills.Excellent attention to detail.Professional appearance and conduct.Strong planning and organizational capabilities.Ability to work calmly under pressure.Sound judgment and problem-solving skills.High level of discretion and confidentiality.Flexibility to work outside regular working hours, including evenings, weekends, and public holidays.Ability to work effectively with multiple stakeholders and diverse cultures.
