This role will be responsible for ensuring the timely and cost-effective procurement of goods and services while maintaining quality, supplier performance, and compliance with company policies.🎯 Key Responsibilities
- Manage day-to-day purchasing and procurement activities in accordance with company requirements.
- Review purchase requisitions and identify appropriate sourcing and purchasing solutions.
- Source, evaluate, and select suitable suppliers based on price, quality, delivery, capability, and reliability.
- Request and compare supplier quotations, proposals, and commercial terms.
- Negotiate pricing, payment terms, delivery schedules, warranties, and other purchasing conditions.
- Prepare and issue purchase orders and ensure accurate purchasing documentation.
- Monitor purchase orders from placement through delivery and invoice completion.
- Follow up with suppliers regarding order status, lead times, delivery schedules, and outstanding issues.
- Maintain strong and professional relationships with existing and potential suppliers.
- Conduct supplier research and identify alternative suppliers to improve cost, quality, and supply continuity.
- Evaluate supplier performance based on cost, quality, delivery, responsiveness, and service levels.
- Support supplier onboarding, qualification, assessment, and periodic performance reviews.
- Maintain accurate supplier databases, purchasing records, contracts, quotations, and procurement documentation.
- Monitor inventory levels and coordinate purchasing requirements with warehouse and operations teams.
- Work closely with Finance to verify invoices, payment terms, purchase orders, and supplier accounts.
- Coordinate with Operations, Production, Engineering, Facilities, Logistics, and other departments to understand purchasing requirements.
- Ensure materials, equipment, products, and services are available according to operational requirements and deadlines.
- Monitor market prices, supplier trends, product availability, and industry developments.
- Identify cost-saving opportunities through supplier negotiations, alternative sourcing, bulk purchasing, and process improvements.
- Assist with procurement budgeting, spend analysis, forecasting, and cost-control initiatives.
- Track procurement spending and prepare purchasing and supplier-performance reports for management.
- Assist with contract management, renewals, purchase agreements, and supplier documentation.
- Resolve purchasing, delivery, quality, pricing, and supplier-related issues promptly.
- Support procurement audits and ensure purchasing activities are properly documented and traceable.
- Ensure procurement activities comply with company policies, approval procedures, ethical standards, and applicable regulations.
- Identify procurement risks and support contingency planning for critical suppliers and materials.
- Continuously improve purchasing processes, sourcing strategies, supplier management, and procurement efficiency.
- Perform other purchasing and procurement duties assigned by management.✅ Requirements
- Proven experience in Purchasing, Procurement, Supply Chain, Sourcing, Vendor Management, or a related role.
- Good understanding of purchasing processes, supplier management, sourcing, quotation evaluation, and purchase-order procedures.
- Strong negotiation, communication, and relationship-management skills.
- Ability to evaluate supplier quotations based on price, quality, lead time, and commercial terms.
- Strong analytical and numerical skills with good attention to detail.
- Experience negotiating with suppliers and managing purchasing costs.
- Ability to manage multiple purchase orders, suppliers, deadlines, and priorities simultaneously.
- Strong supplier follow-up and problem-solving abilities.
- Proficiency in Microsoft Excel, Word, Outlook, and procurement or ERP systems.
- Experience with systems such as SAP, Oracle, Microsoft Dynamics, Coupa, Ariba, or similar procurement platforms is an advantage.
- Familiarity with inventory management, logistics, warehousing, and supply-chain processes is preferred.
- Experience with supplier evaluation, contract management, spend analysis, or cost-reduction initiatives is an advantage.
- Strong understanding of purchase orders, invoices, delivery documentation, and procurement records.
- Ability to communicate effectively with suppliers, internal stakeholders, Finance, Operations, and management.
- Strong organizational and time-management skills.
- Proactive approach to identifying cost-saving opportunities and resolving procurement issues.
- Ability to work independently and collaboratively in a fast-paced environment.
- High level of integrity, professionalism, accountability, and confidentiality.
- Knowledge of procurement policies, internal controls, and compliance requirements is preferred.
- Experience in strategic sourcing, category management, or indirect/direct procurement is an advantage.
- Diploma or Bachelor’s degree in Procurement, Supply Chain Management, Business Administration, Logistics, Finance, or a related field is preferred.
