For more information, visit us at www.26n.com.Job Description26North is seeking a polished, highly organized Receptionist and Office Services Coordinator to serve as the first impression of our Miami office while supporting the operational backbone that keeps day-to-day office life running smoothly and professionally. This is a dual role: the successful candidate will be the first point of contact for employees, clients, candidates, and guests, while also supporting the administrative, facilities, and vendor-management functions of the Corporate Services team. The ideal candidate is professional, discreet, and comfortable interacting with senior executives, institutional clients, and outside partners on a daily basis.This is a full-time, on-site position based in 26North’s Miami office at 404 Washington Avenue, Miami Beach, FL 33139, with core hours of 8:30 a.m. to 6:00 p.m. Because the role supports meetings, client visits, and firm events, flexibility to work outside standard business hours as needed — including occasional early mornings and evenings — is an essential part of the position. Reporting to the Managing Director, Facilities & Corporate Services, this individual will help operate and continually improve the office environment, working closely with building management and the Firm’s outside facilities contractors.ResponsibilitiesFront Desk & Guest ExperienceGreet and register employees, clients, candidates, and visitors with a warm, professional demeanor.Manage incoming calls, the main office line, and general inquiries, routing them appropriately.Coordinate visitor and building-access procedures and maintain accurate visitor logs.Manage conference room scheduling and set-up for internal meetings, client meetings, and board sessions.Order and set up catering for meetings and firm events.Office Operations & FacilitiesServe as a point of contact for building management on facilities issues, access, and building services.Coordinate office vendors, including janitorial, pantry and catering, office supplies, plants, and mail and courier services.Monitor and maintain office supplies, pantry inventory, and general office presentation standards.Coordinate with IT and Corporate Services on workstation setup for new hires and office moves and reconfigurations.Track and manage service contracts, invoices, and vendor billing for office-related expenses.Support Corporate Services with oversight of mail and package distribution and shipping and receiving logistics.Administrative & HR SupportSupport new-hire onboarding logistics, including badge and access provisioning, workstation setup, and welcome packets.Assist Human Resources with scheduling interviews, coordinating candidate visits, and other ad hoc recruiting support.Maintain office policies and procedures documentation, including security protocols, emergency procedures, and seating charts.Support the planning and execution of firm events, holiday parties, and employee engagement activities.Provide administrative support to senior leadership as needed, including travel coordination, expense reports, and calendar assistance.Compliance & SafetyServe as a point person for building fire and life-safety drills and the Firm’s Business Continuity Planning (BCP) procedures.Maintain visitor and access records in accordance with the Firm’s security policies.Ensure office common areas meet the Firm’s presentation and safety standards.Qualifications3+ years of experience in an office coordination, front desk, or administrative role, ideally within financial services, professional services, or a similarly client-facing corporate environment.Exceptional interpersonal and communication skills, with the ability to interact confidently with senior executives and outside clients.Strong organizational skills, with the ability to manage multiple priorities and vendors simultaneously.Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint); familiarity with building and visitor-management systems a plus.Discretion and sound judgment when handling confidential or sensitive information.Polished, professional presentation consistent with a client-facing financial services environment.Bachelor’s degree preferred but not required.Benefits26North offers a competitive base salary and discretionary bonus based on performance as well as a comprehensive benefits package.
