HR Assistant / HR Executive / HR CoordinatorRole Description We are seeking an organized, empathetic, and detail-driven HR Assistant / HR Executive / HR Coordinator to manage daily human resources administration, support employee lifecycle operations, and maintain internal HR databases. In this entry-to-mid level role, you will work closely with HR Managers, Talent Acquisition Leads, Department Heads, and Payroll Officers to facilitate smooth HR operations and foster a positive workplace culture. You will be responsible for assisting with recruitment workflows, onboarding new hires, maintaining accurate personnel records, and serving as a reliable point of contact for routine employee inquiries regarding company policies, benefits, and leave administration. Responsibilities include coordinating training sessions, supporting performance management schedules, processing offboarding documentation, and assisting with HR compliance reports. Success in this position requires excellent interpersonal skills, strict confidentiality when handling sensitive data, proficiency with modern HR software and spreadsheets, and a proactive approach to operational organization.QualificationsEducation: Bachelor's degree or Diploma in Human Resource Management, Business Administration, Organizational Psychology, or a related field.HR Operations & Employee Lifecycle: Understanding of core HR functions, including recruitment support, employee onboarding/offboarding workflows, personnel file management, and benefit administration.Recruitment Coordination: Hands-on experience or familiarity with drafting job ads, screening resumes, scheduling candidate interviews, running background checks, and tracking applicants.HRIS & Administrative Software: Practical experience using Human Resource Information Systems (HRIS) or ATS tools (e.g., Workday, BambooHR, SuccessFactors, Zoho Recruit, or LinkedIn Recruiter).Spreadsheet & Reporting Skills: Intermediate proficiency in Microsoft Excel / Google Sheets (VLOOKUP/XLOOKUP, Pivot Tables, SUMIFS) for compiling workforce analytics, attendance tracking, and HR reporting.Labor Law & Policy Compliance: Foundational knowledge of local labor legislation, statutory reporting, company policy enforcement, and workplace health and safety compliance.Onboarding & Training Administration: Capability to organize new-hire orientation sessions, deliver administrative HR briefings, track mandatory compliance training, and manage logistics for learning programs.Interpersonal Communication: Strong verbal and written communication skills with the ability to handle employee relations, conflict resolution, and internal inquiries empathetically and professionally.Confidentiality & Data Integrity: Exceptional personal discretion and commitment to strict data privacy standards (e.g., GDPR, PDPA) regarding confidential employee files and salary information.Professional Attributes: High organizational ability, strong attention to detail, proactive multi-tasking skills under tight schedules, and a supportive, collaborative attitude.
