The main office is located at 833 Felipe Pike Street, Bagong Ilog, Pasig City, Philippines, with multiple parts hubs and service teams across Luzon, Visayas, and Mindanao to ensure nationwide coverage.Role DescriptionThe Sales Administrator provides vital support to the Sales team by managing administrative and operational tasks that ensure smooth and efficient sales processes. This includes preparing quotations, handling customer inquiries, maintaining CRM data, coordinating logistics for sales orders, and supporting documentation related to tenders, pricing, and client accounts. Administrator also assists with product information updates, vendor coordination, and monitoring of after-sales and service transactions1.Sales Operations & Support• Prepare and process sales quotations, proposals, and contracts for customers.• Ensure timely follow-up of quotations and maintain accurate sales order tracking.• Coordinate with suppliers and logistics teams for pricing, availability, and delivery schedules.• Maintain detailed and up-to-date sales reports, forecasts, and pipelines.• Support Sales Executives in client communications and presentations. 2. CRM and Data Management• Update and maintain customer databases and CRM systems (e.g., Salesforce, HubSpot, or internal CRM).• Monitor and ensure data accuracy — including leads, opportunities, contacts, and deal status.• Generate regular reports and dashboards for management analysis. 3. Customer Relations• Respond to customer inquiries via email or phone and ensure quick resolution of issues.• Coordinate with the technical and service teams for product demos, installations, and after-sales support.• Help manage client account documentation, and service agreements. 4. Coordination & Documentation• Assist in bid/tender submissions, ensuring compliance with documentation and deadlines.• Liaise with finance and accounting for invoicing, billing, and collections.• Maintain organized records of sales files, contracts, and correspondence.• Support marketing efforts with event coordination, materials preparation, and lead tracking. Prepares Sales Orders, Request for Purchases and distributes PO’s / SO’s to concerned departments 5. Internal Communication• Act as a central link between Sales, Operations, Technical, and Finance teams.• Attend regular sales meetings and prepare minutes, action lists, and performance summaries.• Support management in preparing presentations and performance reviews.
