The successful candidate will be responsible for managing sales administration activities, coordinating customer orders, maintaining accurate sales records, preparing quotations, and ensuring efficient communication between customers and internal departments. The ideal candidate is detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced environment.Position and Reporting StructureAs a Sales Administration Executive, you will report directly to the Sales Director and will be an integral part of our Sales team.Key Duties and Responsibilities:Prepare and process customer quotations, sales orders, and order acknowledgements accurately and on time.Assist in the preparation of sales reports.Coordinate with Sales, Engineering, Procurement, Production, Logistics, and Finance teams to ensure smooth order execution.Monitor customer orders from receipt through delivery, providing regular updates to customers.Maintain accurate customer records, pricing information, and sales documentation within the ERP system.Ensure all sales documentation complies with company procedures and customer requirements.Assist in preparing sales reports, forecasts, and performance metrics.Respond promptly to customer inquiries and provide professional administrative support.Coordinate shipment documentation with the Logistics team to ensure timely deliveries.Support contract administration and maintain organized electronic and physical filing systems.Assist with invoicing coordination and resolve customer documentation issues when required.Identify opportunities to improve sales administration processes and customer satisfaction.Follow all safety protocols and standards while performing daily assignments.Complete any additional tasks or special assignments as instructed by the Manager, or ad-hoc duties as required.Handle confidential information with discretion, ensuring it is stored securely and shared only with authorized personnel.Qualifications:Bachelor's degree in Business Administration, Sales, Marketing, Logistics, or a related field.Minimum of 2–3 years of experience in sales administration, customer service, order management, or commercial support.Experience working with ERP systems (Sage or similar) and Microsoft Office applications, particularly Excel.Strong organizational and multitasking skills with excellent attention to detail.Excellent verbal and written communication skills in English.Strong customer service orientation and problem-solving abilities.Ability to work independently while collaborating effectively with cross-functional teams.Knowledge of export documentation and international trade processes is an advantage.Ability to work in a dynamic, fast-paced environment while meeting deadlines.Experience within the aerospace, manufacturing, or industrial sectors is preferred but not essential.Why Join Us?Professional development opportunities and ongoing training.Collaborative and inclusive work environmentCompetitive compensation and benefits packageThe opportunity to work with an international team in the aerospace industryA culture that values teamwork, innovation, quality, and continuous improvementEqual Opportunity EmployerAt DEDIENNE AEROSPACE, we believe that diversity and inclusion are key to driving innovation and success.
