We are a lean, fast-moving team winning on customer service, origin expertise, and end-to-end logistics management — with ambitious growth targets ahead.The OpportunityThe Coordinator, Commercial Sales is the operational backbone of our commercial engine. Every US customer sales contract and every worldwide supplier purchase contract runs through this desk. This is not a support role — it is an ownership role.The person in this role runs the contracting process end to end, protects our 15% gross profit margin through disciplined cost-sheet management, and serves as the professional face of the company to both customers and suppliers. We are targeting USD $50M in revenue in FY2027, and this role is central to getting there.Core ResponsibilitiesSales Order OperationsOwn the end-to-end sales order process — from confirmed order to executed contract — for all US customers and worldwide suppliersEnsure every Customer Sales Contract is matched to a Supplier Purchase Contract; nothing unsigned, unmatched, or out of dateMaintain the Sales Orders Dashboard as the live, accurate view of all open contracts at all timesCost Sheets & ContractingBuild and verify a cost sheet for every order before the contract is issued; protect the 15% GPM targetIssue, execute, and file every contract to standard — parties, product, specification, quantity, price, Incoterms, and payment terms right the first timeFlag margin and term anomalies before contracts execute, not afterCustomer & Supplier RelationshipsOwn the customer relationship on the product offering — order confirmations, contracts, documentation, and answers customers can rely onOwn the supplier relationship on procurement — purchase contracts, confirmations, and terms documented in writing, every timeReporting & SystemsOwn the Sales Orders Dashboard and Spire_Sales_Orders file as the single source of truth for every contractDeliver the monthly Operational Scorecard and Quarterly Performance Report to leadershipBring every escalation to the Sales Director in a structured format: facts, objective, three options, and a recommendationFY2027 Build PrioritiesDocument the Cost Sheets & Contracting process end to end; build standard templates ready for $50M volumeStand up and maintain the Sales Orders Dashboard as the commercial source of truth across sales, sourcing, logistics, and leadershipEstablish the sales scorecard and quarterly reporting cadence that leadership relies on without reworkDeepen commercial judgement — move from processing orders to protecting outcomes; spot margin risk before it becomes a problemWhat We're Looking ForHighly organized — able to manage multiple concurrent orders, samples, and supplier communications without letting anything slipStrong written and verbal communicator — always professional, reliable, and responsiveOperationally rigorous — accurate, complete, and on time; proactively flags issues without being toldCommercially curious — understands the cost build-up, asks why a margin moved, brings solutions not just problemsBackground in contract manufacturing, commodity sourcing, logistics coordination, food & beverage operations, or a similar supply-chain-adjacent environmentExposure to Incoterms, purchase/sales contracting, and cost-sheet mechanics is a strong assetWillingness to complete FITTskills or equivalent international trade finance training in H1 FY2027Performance StandardsThis role is measured against standing operational standards, reviewed monthly:Contract accuracy: ≥99% first-time right; zero shipment delays attributable to contract errorsContract turnaround: ≤2 business days from confirmed order to issued contractCost sheet accuracy: variance ≤1 percentage point; every variance explainedSO–PO match: 100% matched before product moves; exceptions flagged with a reason and an ownerDashboard & file currency: zero discrepancies at reviewCompensation & DetailsBase salary: $60,000–$65,000Performance bonus: 7–8% (50% KPI-based / 50% sales revenue)Location: Toronto, ON — on-site 5 days/week (Queens Quay & Jarvis)Reports to: President
