You investigate it, fix it, and communicate what changed.If you have experience supporting a sales team, live in the details, and want a role where your work directly supports one of the fastest-growing companies in the country, keep reading.About Rehab CEOsRehab CEOs is a coaching and consulting company for physical therapy and rehab clinic owners.We help clinic owners grow stronger, more profitable businesses through support with sales, marketing, hiring, leadership, operations, and growth.We are a seven-figure company working toward and beyond eight figures in annual revenue, and our growth has earned us the #328 spot on the Inc. 5000 list of fastest-growing private companies in the U.S.As lead volume, paid traffic, setters, closers, and booked sales calls continue to increase, we need someone who can keep the operational side of sales organized, accurate, and moving quickly.About the RoleThe mission of the Sales Coordinator is to coordinate with Sales, Marketing, Operations, and Fulfillment to make sure every salesperson is set up in the best possible position to win.You will sit behind the sales team and own the details that keep the machine running.That includes reviewing booked sales calls before they happen, managing calendars, verifying attribution, maintaining clean CRM data, producing daily reports, and making sure required sales admin gets completed.Leadership should not have to manually catch routine errors.You should be catching them first.What You Will OwnBooked Sales Calls and Calendar ManagementYou will review booked sales calls before they happen to make sure:The lead is a real person and legitimate opportunityThe business is categorized correctlyThe call is on the right closer’s calendarQualification information makes senseAnything inaccurate or incomplete is corrected before the callYou will also monitor closer calendars, reassign opportunities when needed, and help make sure salespeople are spending their time on the right opportunities.Lead Routing and AttributionEvery sales appointment should have a clear story behind it.You will track:Whether the opportunity came from inbound or outbound activityWhich marketing source or campaign generated the leadWhich setter generated an outbound opportunityWhich closer should receive the callWhether the CRM and reporting reflect what actually happenedIf something does not match, you will investigate and correct it.Daily Reporting, CRM, and Pipeline AccuracyYou will own recurring sales reporting and help keep the pipeline clean.This includes:Preparing daily sales calendar reportsPulling paid traffic and outbound activity numbersReviewing booked calls, show rates, and funnel activityMaintaining attribution and sales scorecardsCorrecting inaccurate lead informationMonitoring pipeline stages and appointment outcomesFlagging missing notes, bad data, or anything that looks inconsistentYou may work across systems such as GoHighLevel, ClickUp, Meta Business Manager, Google Sheets, slack and calling software.At the level we spend on paid traffic, stale or inaccurate data can get expensive quickly. You will help make sure the numbers being used to evaluate sales and marketing actually reflect what happened.Sales Team AccountabilityAccurate reporting depends on accurate input.You will make sure setters and closers are completing required CRM updates, call outcomes, pipeline movements, notes, and end-of-day administrative work.You should be comfortable following up directly when something is missing.Experience We Are Looking ForIdeally, you have:2+ years of experience in sales coordination, sales operations, revenue operations, CRM administration, lead management, or a similar roleExperience supporting setters, closers, account executives, or another sales teamExperience managing sales calendars, booked calls, lead routing, or qualificationHands-on experience maintaining CRM pipelinesExperience tracking lead attribution and marketing sourcesExperience producing sales reports, scorecards, or KPI reportingStrong experience with Google Sheets or ExcelHands-on experience with GoHighLevel is strongly preferred, since it is the primary CRM used by our sales team. Experience with HubSpot, Salesforce, Pipedrive, or another CRM is also valuable, especially if you have managed pipelines, lead routing, attribution, reporting, and CRM data accuracy.Experience with paid traffic, funnel reporting, or marketing attribution is a must.What matters most is that you understand how marketing, leads, setters, booked calls, calendars, closers, CRM data, attribution, and sales outcomes all connect.The Person We Are Looking ForYou are:Highly detail-orientedStrong at critical thinkingComfortable with numbers and reportingFast without becoming carelessNaturally skeptical when data does not make senseProactive about communicating issuesComfortable holding people accountable to processAble to work independently without constant oversightYou do not just complete tasks.You notice when something around the task is off and figure out why.What Success Looks Like in 90 DaysBooked sales calls are reviewed and routed correctlySales calendars are clean and organizedEvery appointment has accurate attributionDaily reports are accurate and submitted on timeCRM and pipeline data can be trustedSalespeople consistently complete required admin workMarketing can trust the data used to evaluate campaignsLeadership is no longer manually catching routine sales operations issuesCompensation & Logistics
