The successful candidate will provide executive and administrative support in Dubai while also assisting with certain UK-related business and administrative matters.Role DescriptionThis is a full-time, on-site Secretary / Executive Assistant to the CEO role based in DIFC, Dubai.The successful candidate will provide comprehensive executive and administrative support to the CEO, including managing calendars, scheduling meetings, coordinating travel, preparing correspondence and documents, and assisting with day-to-day matters on behalf of the CEO.A key aspect of the role will also be supporting and coordinating certain UK-based business and administrative activities, including UK payroll and employee administration, liaising with UK-based service providers, maintaining records, and ensuring that UK-related matters are handled accurately and within the required deadlines.UK work experience is an essential requirement for this position. Candidates who do not have previous UK working experience should not apply.Experience working within the DIFC or a DIFC-based financial services environment would also be highly beneficial, as the role will involve supporting a company operating within the DIFC and dealing with corporate and administrative matters relevant to the jurisdiction.Key ResponsibilitiesProvide direct and proactive executive and administrative support to the CEO.Manage the CEO’s calendar, appointments, meetings, travel arrangements, correspondence, and daily administrative requirements.Act as a key point of contact for the CEO and coordinate communication with internal and external stakeholders.Prepare correspondence, presentations, reports, meeting materials, and other documents as required.Coordinate internal and external meetings, prepare agendas, collate meeting materials, take minutes, and follow up on action points.Support company secretarial and corporate administration activities, including maintaining corporate records and documentation.Manage and coordinate selected UK-based administrative matters.Assist with UK payroll processing and employee administration, ensuring information is accurate and submitted within the required deadlines.Liaise with UK-based payroll providers, accountants, advisors, and other service providers as required.Maintain accurate UK employee, payroll, and administrative records.Coordinate UK-related invoices, correspondence, documentation, and other administrative requirements.Assist with DIFC-related corporate and administrative matters where required.Maintain strict confidentiality when dealing with sensitive company, employee, financial, and executive information.Support general office administration and undertake other responsibilities as required by the CEO and management.Qualifications & ExperienceUK work experience is MANDATORY. Candidates without previous UK working experience should NOT apply.Previous experience working in the UK in a Secretary, Executive Assistant, Personal Assistant, Office Manager, or similar administrative role is required.Practical experience with UK payroll and employee administration is required.Experience working with UK-based companies, service providers, accountants, payroll providers, or professional advisors is highly desirable.Previous experience providing direct administrative support to a CEO, Managing Director, Chairman, or senior executive is highly desirable.Previous experience working within the DIFC is highly beneficial, particularly experience within financial services, investment management, professional services, or another regulated/corporate environment.Familiarity with DIFC corporate and administrative practices would be an advantage.Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.Excellent written and verbal English communication skills.Excellent attention to detail and accuracy, particularly when handling payroll, financial, employee, and corporate documentation.Strong proficiency in Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook.Experience with company secretarial duties, including preparing agendas, taking minutes, maintaining corporate records, and coordinating management or board meetings, is an advantage.Ability to handle highly confidential and sensitive information with discretion.Professional, proactive, reliable, and able to work independently with minimal supervision.Previous experience within financial services, investment management, or a corporate environment is preferred.A diploma or bachelor’s degree in business administration, office management, or a related field is preferred.IMPORTANT REQUIREMENTUK EXPERIENCE IS MANDATORY.The successful candidate must have previous professional working experience in the UK, including familiarity with UK business administration and, preferably, UK payroll and employee administration.If you do not have UK working experience, please do not apply for this position.Previous DIFC experience is highly beneficial and will be considered an advantage, particularly for candidates who have worked within financial services, investment management, corporate services, or another professional environment in the DIFC.
