Apply & track with Apply EdgeSenior Administrative Coordinator / Administrative SpecialistLocation: Orange, TX 77630Schedule: Monday–Thursday, 4x10 schedule | Fridays offHours: 40 hours/week | Preferred start time around 7:00 AMJob SummaryWe are seeking an experienced and highly organized Senior Administrative Coordinator / Administrative Specialist to provide comprehensive administrative support to leaders, employees, and a large organizational team of approximately 100 employees.This role requires someone who is proactive, self-motivated, highly organized, and comfortable working independently while managing multiple priorities in a fast-paced environment. The ideal candidate will have strong communication and relationship-building skills, excellent attention to detail, and experience supporting leadership teams.In addition to traditional administrative responsibilities, this position will serve as a key resource for digital tools, SharePoint, document management, purchasing, expense reporting, and basic technology support.Key ResponsibilitiesProvide professional administrative support to multiple leaders, team members, and operations personnel.Manage complex calendars, meetings, appointments, conference rooms, events, and visitor coordination.Coordinate department meetings, events, and special projects from planning through completion.Prepare meeting notes, summaries, action items, and follow-up communications.Arrange domestic and international business travel, including detailed itineraries and multiple time zones.Handle confidential and sensitive information with a high level of discretion and professionalism.Serve as an administrative point of contact for employees, leadership, internal departments, and external contacts.Prioritize multiple requests and independently determine appropriate actions to keep work moving efficiently.Support purchasing activities, office supplies, expense reporting, and corporate purchasing card processes.Review expense reports for accuracy and policy compliance and follow up on discrepancies.Maintain and organize electronic and hardcopy documents and records.Support document lifecycle management, including document creation, organization, review, ownership, and retention.Maintain and support SharePoint sites, shared files, electronic repositories, and other document-management systems.Help establish and communicate document-management procedures and best practices.Support document reviews and updates associated with business processes and organizational changes.Assist employees with basic technology, connectivity, collaboration tools, and equipment-related issues.Manage company tablets, chargers, and related office technology equipment.Escalate technical issues to the appropriate support team when necessary.Serve as a resource for Microsoft Office and other business applications.Collaborate with administrative teams and internal stakeholders to share best practices and improve processes.Support organizational safety, compliance, and company policy initiatives.Maintain a professional, collaborative, and inclusive work environment.Required QualificationsPrevious experience in senior administrative, executive administrative, administrative coordination, or office management roles.Experience supporting multiple leaders, managers, or large teams.Strong verbal and written communication skills.Excellent organizational, prioritization, and time-management skills.Demonstrated ability to work independently with limited supervision.Strong problem-solving skills and the ability to anticipate needs.Ability to manage multiple priorities and changing deadlines in a fast-paced environment.Strong proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.Ability to handle confidential information with discretion.Strong interpersonal and relationship-building skills.Preferred QualificationsExperience with SharePoint and electronic document management systems.Experience with SAP or other enterprise business systems.Experience with purchasing, corporate purchasing cards, or expense reporting.Experience coordinating domestic and international travel.Experience supporting digital transformation or technology initiatives.Experience assisting employees with basic technology or connectivity issues.Experience with Power BI or similar reporting/analytics tools.Experience working in a large corporate, manufacturing, engineering, or industrial environment.Ideal CandidateThe successful candidate will be a proactive and resourceful professional who takes ownership of responsibilities, communicates effectively with people at all levels, and can independently prioritize competing demands.You should be comfortable acting as a trusted administrative resource for leadership and employees, learning new systems quickly, improving processes, and finding practical solutions to day-to-day challenges.Work EnvironmentPrimarily office-based.No routine shop-floor work.Business casual environment.No routine PPE requirements.May occasionally operate a golf cart onsite.No personal vehicle use required.No TWIC card required.ScheduleMonday–Thursday, 4x10 schedule40 hours per weekFridays and weekends offPreferred start time: approximately 7:00 AM
