More information is available on the Astek Saudi Arabia and UAE country pages, and candidates can reach Astek Middle East at contact-astekme@astek-international.com.About the RoleWe are seeking a Senior Document Controller to manage, organize, and maintain project documentation and records across energy efficiency, sustainability, construction, and infrastructure projects in Saudi Arabia. The role will be responsible for ensuring project documents are accurately captured, reviewed, tracked, distributed, and archived throughout the project lifecycle. The successful candidate will work closely with project managers, engineers, consultants, contractors, and PMO teams to maintain effective document control processes and ensure timely access to accurate project information.ResponsibilitiesManage the receipt, distribution, filing, tracking, and archiving of project documentation, including drawings, specifications, contracts, correspondence, reports, and technical documents.Maintain accurate and up-to-date document registers and tracking systems.Ensure documents are correctly numbered, version-controlled, and stored in accordance with established project procedures.Coordinate document transmittals between internal teams, contractors, consultants, and other project stakeholders.Ensure timely processing and distribution of incoming and outgoing documentation.Review documents for completeness, accuracy, and compliance with document control procedures before distribution.Monitor document status, revisions, submissions, and approvals, and follow up on outstanding or overdue documents.Prepare document status reports and provide regular updates to project management and relevant stakeholders.Manage electronic document management systems (EDMS), including document access, permissions, and records security.Support project closeout and handover activities, including the preparation and organization of final documentation and as-built packages.Maintain proper records and ensure documents are readily retrievable throughout the project lifecycle.Support continuous improvement of document control procedures and workflows.QualificationsBachelor's degree or diploma in Business Administration, Engineering, Information Management, or a related field.Required Skills3+ years of relevant professional experience in document control.Candidates with extensive experience, including 10+ years, are also encouraged to apply.Professional experience in Saudi Arabia or the GCC is preferred.Demonstrated experience supporting project coordination, project execution, and/or project management activities.Relevant professional document control certification or accreditation is an advantage.Strong understanding of document control procedures, revision management, transmittals, and project records.Good command of English, both written and spoken.Strong organizational, communication, coordination, and attention-to-detail skills.Technical SkillsProficiency in Electronic Document Management Systems (EDMS) such as Aconex, SharePoint, Documentum, or equivalent platforms.Advanced proficiency in Microsoft Office, particularly Excel, Word, and Outlook.Strong knowledge of document numbering, revision control, transmittal workflows, and document tracking.Experience with PDF management and markup tools such as Bluebeam Revu or Adobe Acrobat is an advantage.Familiarity with project management and scheduling tools such as Primavera P6 or Microsoft Project is a plus.Experience maintaining document registers, logs, trackers, and project reporting systems.Familiarity with document management requirements within construction and engineering projects.Preferred SkillsCertified Document Controller (CDC) or equivalent certification.Experience in construction, energy, infrastructure, engineering, or facility management projects.Previous experience working on projects in Saudi Arabia.Familiarity with ISO 9001 quality management documentation requirements.Experience supporting project closeout, handover, and as-built documentation.Experience working within multidisciplinary project teams and PMO environments.What We're Looking ForWe are looking for an experienced document control professional who is highly organized, detail-oriented, and capable of managing large volumes of project documentation while maintaining accuracy and consistency.
