SUMMARYEntertainment Industry Foundation (“EIF” or the “Foundation”) is seeking a Senior Executive Assistant, Finance. The Senior Executive Assistant provides high-level executive, administrative, and coordination support to the Chief Financial Officer. The role is designed to help the CFO operate effectively by supporting calendar management, meeting preparation, communications, follow-up, and coordination of key priorities.The position requires strong judgment, discretion, organization, and the ability to work effectively with senior leaders and other stakeholders across EIF. The Senior Executive Assistant is expected to anticipate needs where appropriate, help maintain visibility into important commitments and deadlines, and support the CFO in managing a broad range of responsibilities.The role also provides selected coordination and project support to the Finance team, particularly where that support helps advance departmental priorities or improves communication and execution. The position regularly handles confidential and sensitive information, including personnel matters, compensation, Board materials, financial information, and executive-level discussions.This hybrid position is located in Los Angeles, CA, and requires in-office work at least two days per week.QUALIFICATION REQUIREMENTSTo be successful, an individual must perform each essential function satisfactorily. The requirements listed below are representative of the knowledge, skill, and ability required.ESSENTIAL FUNCTIONS The Entertainment Industry Foundation (“Foundation”) reserves the right to modify the job responsibilities listed below.Provide high-level executive support to the CFO across scheduling, communications, meetings, travel, and other administrative needs.Manage the CFO’s calendar, coordinate scheduling, help resolve conflicts, and support effective use of the CFO’s time.Help organize and prioritize meeting requests and other commitments based on guidance from the CFO.Support management of the CFO’s email and correspondence, including flagging priority matters, organizing follow-up items, and drafting responses when requested.Coordinate meeting preparation, including agendas, background materials, presentations, and other supporting documents.Track key decisions, commitments, deadlines, and follow-up items from meetings and discussions, and surface items that may require the CFO’s attention.Follow up with internal or external stakeholders on behalf of the CFO when requested.Coordinate preparation for Board, Board committee, executive leadership, CEO, and other senior-level meetings.Assist with presentation materials, briefing documents, reports, and executive communications.Maintain a high level of discretion and confidentiality when handling sensitive financial, personnel, Board, legal, organizational, or executive information.Support coordination of Finance leadership and department meetings.Provide project coordination support for selected Finance initiatives, including tracking timelines, milestones, and outstanding items.Coordinate travel arrangements and prepare or reconcile expense reports for the CFO as needed.Manage administrative aspects of the corporate card program.Maintain oversight of petty cash administration.Coordinate the state registration process with EIF’s external service provider.Collaborate with other administrative and executive support staff across EIF as appropriate.Perform other duties related to supporting the CFO and the effective operation of the Finance function.CORE COMPETENCIESDemonstrate strong organizational and time management skills with the capacity to be highly task-oriented.Demonstrate personal compatibility with and commitment to the Foundation’s philosophies and mission while maintaining a high degree of professionalism.Demonstrate the ability to work independently, creatively, efficiently, and cooperatively in a fast-paced environment.Professional demeanor exhibiting the ability to listen actively and to communicate effectively (both orally and in writing), persuasively, and with confidence.Personable, approachable, and able to build relationships and trust with employees and management.Proactive problem-solving skills.The ability to multi-task, work in a fast-paced, deadline-driven environment while maintaining extreme attention to detail and refocus as the job and situations demand.The ability to work within a team and establish strong working relationships with individuals of diverse backgrounds and abilities. EDUCATION and EXPERIENCEBachelor’s degree preferred, or equivalent combination of education and relevant professional experience.7–10+ years of progressively responsible executive support or business partnership experience, including experience supporting a C-suite or senior executive.Demonstrated experience handling confidential and sensitive information with discretion and sound judgment.Strong business acumen and working knowledge of finance and accounting concepts, with the ability to understand financial terminology, processes, priorities, and deadlines.Experience supporting a CFO, Finance function, or other financially oriented executive is strongly preferred.Strong written and verbal communication skills, including experience preparing executive-level correspondence, presentations, and meeting materials.Experience in a complex, fast-paced organization required.
