The Executive Assistant will act as the connective tissue between the principal, multiple business entities, senior executives, advisers, external partners and the various teams surrounding the their wider life, ensuring that information, priorities and plans move seamlessly between each.On the executive side, the position is responsible for ensuring the principal remains informed, prepared and organised across a significant volume of business activity. This includes maintaining visibility across multiple entities, preparing for meetings and calls, overseeing paperwork and correspondence, inbox management, tracking outstanding decisions and ensuring appropriate follow-through.The role also carries responsibility for coordinating important personal and shared commitments across the principal’s wider ecosystem. This requires regular communication with the respective teams supporting key individuals around the principal, maintaining visibility across multiple calendars and ensuring that major annual occasions, celebrations, travel and other important commitments are coordinated well in advance.the successful candidate will be exceptionally polished, discreet and organised, with excellent judgement and the confidence to operate amongst senior executives, entrepreneurs, advisers, talent and other high-profile individuals. They must be equally comfortable navigating an executive-level business conversation, coordinating multiple private offices and handling highly sensitive personal matters with complete discretion and a solution oriented mindset._________________________________Key Responsibilities :: Act as a key day-to-day point of support to the principal across business, professional, personal and wider ecosystem priorities.Maintain oversight of the principal’s business priorities, ensuring relevant information, paperwork, updates and decisions are communicated clearly and at the appropriate time.Prepare the principal for meetings, calls and zooms, ensuring relevant documents, background information, agendas, talking points and outstanding matters are organised in advance.Coordinate and execute a complex schedule of business meetings, calls, appointments and professional engagements, working closely with internal and external teams.Maintain a clear understanding of activity across the principal’s various business entities and ensure regular updates, requests, approvals and decisions are appropriately tracked.Follow up on actions arising from meetings and calls, ensuring relevant parties deliver against agreed next steps and that the principal remains informed of progress.Manage a high volume of incoming information, correspondence and requests, exercising excellent judgement around prioritisation and escalation.Review, organise and maintain important business paperwork, contracts, documents and correspondence, ensuring materials are readily accessible when required.Liaise regularly with senior executives, business partners, advisers, attorneys, accountants and other professional representatives on behalf of the Principal.Maintain an overview of important personal and shared calendar commitments across the principal’s wider ecosystem.Act as a central point of communication between the principal and their ecosystem.Coordinate major annual occasions and shared commitments, including holidays, celebrations, milestone events, gatherings and other significant calendar moments.Establish availability well in advance for key shared commitments and work across multiple teams to resolve scheduling conflicts wherever possible.Coordinate shared travel, events and plans where required, ensuring information is consolidated and communicated accurately across all relevant teams.Maintain appropriate records of important dates, annual traditions, gifting requirements and recurring personal commitments.Maintain detailed notes, action lists and follow-up systems across both professional and personal workstreams.Assist with selected personal responsibilities including appointments, gifting, events, errands and other matters that naturally sit within the Private Office.Work closely with household, travel, security and other support teams to ensure the principal’s professional and personal commitments are coordinated seamlessly.Anticipate requirements, identify potential issues early and resolve matters wherever possible before they require the Principal’s involvement.Handle highly sensitive professional and personal information with absolute confidentiality and discretion._________________________________Required Skills & Experience :: The ideal candidate will have significant previous experience supporting a high-profile public facing figure, Founder, CEO or UHNW principal, at Senior Executive Assistant level. Experience working across multiple businesses, teams or entities is strongly preferred, with previous exposure to a family office, private office or a similarly complex environment is considered highly advantageous.Candidates should have exceptional executive administration, diary management and organizational skills, alongside experience handling confidential documentation, business correspondence, presentations, contracts and senior-level communications. Experience within fashion, beauty, luxury, entertainment, media or another high-profile consumer-facing industry would be particularly relevant.A strong track record of discretion, longevity and trusted relationships with previous principals or executives is important, verified by references. The role also requires flexibility to work across multiple time zones and to accommodate occasional evenings, weekends, holidays and travel when required.
