We are currently helping our client, a mission-based organization, with their search for a Senior Executive Business Administrator.

Location: Kirkland, WASchedule: Full-time, 5 days/week onsiteThe OpportunityOur client is seeking an experienced Senior Executive Business Administrator to provide high-level administrative support to two senior executives.

This is a highly visible role requiring exceptional organization, communication, judgment, and discretion.The right candidate is an experienced executive support professional who can stay several steps ahead, manage competing priorities, and bring structure to busy executives' days. You will own complex calendars, coordinate travel, manage expenses, prepare for meetings, facilitate communication, and help ensure priorities and commitments stay on track.This is a hands-on, collaborative environment, so flexibility matters. While executive support is the primary focus of the role, this person will also pitch in with meetings, visitors, and occasional office needs as part of a small team.What You'll DoProvide proactive, high-level administrative support to two senior executivesOwn complex and frequently changing calendars, proactively resolving conflicts and ensuring executives are prepared for upcoming commitmentsCoordinate meetings across internal and external stakeholders, including scheduling, logistics, materials, and follow-upManage domestic and international travel, including detailed itineraries, accommodations, transportation, and changes that arise along the wayPrepare and manage expense reports and related administrative documentationHelp executives stay ahead of priorities, deadlines, meetings, and commitmentsDraft, coordinate, and manage professional communications and correspondence as neededPrepare meeting materials, agendas, briefing information, and other documentationServe as a trusted point of contact for internal and external stakeholdersHandle sensitive and confidential information with exceptional discretion and judgmentBuild strong working relationships with other executive and administrative support professionals to ensure coordination and coverageSupport visitors, meetings, and events to ensure a polished and professional experienceAssist with day-to-day office needs when necessary as part of a collaborative, hands-on teamSupport special projects and changing business priorities as neededWhat We're Looking For5+ years of executive administrative support experience, ideally supporting senior or C-level executivesDemonstrated experience owning complex executive calendars and coordinating across multiple stakeholdersStrong experience coordinating domestic and international travelExcellent written and verbal communication skillsStrong attention to detail and ability to anticipate needs rather than wait for directionAbility to prioritize effectively and remain composed when schedules or priorities changeExceptional discretion, judgment, and professionalism when handling confidential informationStrong interpersonal skills and the ability to communicate effectively with executives, colleagues, and external stakeholdersHighly organized with the ability to manage multiple priorities simultaneouslyStrong Microsoft Office skills and experience with calendar, travel, and expense-management toolsCollaborative, flexible, and willing to pitch in wherever needed within a small-team environmentAbility to work onsite in Kirkland five days per weekAbility to successfully complete a detailed background checkCompensation & BenefitsThe salary range for this position is $90,000-$120,000 annually depending on experience and qualifications.The position includes a comprehensive benefits package with medical, dental, vision, life and disability insurance, a 401(k) program with employer match, and generous paid time off.*US citizens and those authorized to work in the US are encouraged to apply.
