Job SummaryThe Senior Executive, HR Operations is responsible for overseeing end-to-end HR operational functions with a strong focus on payroll accuracy, statutory compliance, and efficient employee lifecycle management. This role ensures smooth execution of HR processes, maintains high data integrity within HR systems, and supports organizational effectiveness through timely reporting and coordination of HR initiatives. Job Description1. Payroll & Benefits Administration

• Manage and process end-to-end monthly payroll, ensuring accuracy, timeliness, and compliance with statutory requirements.
• Prepare and submit statutory contributions and ensure proper reconciliation, including: o Lembaga Hasil Dalam Negeri (PCB, CP39, EA Form) o Employees Provident Fund (EPF contributions) o Social Security Organization (SOCSO & EIS) o Human Resources Development Corporation (levy and claims)
• Perform payroll verification and reconciliation prior to payment release to ensure accuracy.
• Maintain proper payroll documentation and records for tracking and reference purposes.
• Administer employee benefits including insurance, allowances, and claims processing.
• Process monthly director’s fees and meeting allowances accurately and in a timely manner. 2. HR Operations Management
• Oversee day-to-day HR operations, ensuring smooth execution of employee lifecycle processes (hire-to-retire).
• Manage onboarding, confirmation, employee movements, and offboarding processes.
• Ensure consistent implementation of HR policies, procedures, and SOPs.
• Maintain and update HR documentation and employee records regularly.
• Monitor and review employee attendance and leave records.
• Prepare and process documentation for payment requests and renewal approvals. 3. Recruitment & Hiring
• Manage the full recruitment cycle from job posting to onboarding.
• Coordinate interview arrangements and support hiring managers throughout the selection process.
• Prepare and issue offer letters and related employment documentation.
• Conduct background checks where required. 4. Performance Management Support
• Coordinate and support the annual performance appraisal cycle.
• Track and monitor Key Performance Indicators (KPIs) and competency assessments.
• Ensure proper documentation and timely completion of performance-related processes. 5. HR Systems & Reporting
• Manage and maintain the HR Information System (HRIS), ensuring data accuracy and integrity.
• Generate regular and ad-hoc HR reports, including headcount, turnover, and payrollrelated reports.
• Ensure proper record-keeping and data updates within HR systems. 6. Training & Development Coordination
• Coordinate training programs, including logistics and administrative arrangements.
• Liaise with external training providers and maintain training records.
• Manage end-to-end coordination of annual team-building activities.
• Handle training grant applications and levy claims with Human Resources Development Corporation, where applicable. Job Qualification
• A bachelor’s degree in Human Resources Management, Business Administration, or a related field is standard.
• At least 5-7 years of working experience in HR operation field.
• Experience with HR system – Worksy is a big plus.
• Good knowledge in Malaysian Labour Law.
• Detail oriented, flexible and fast learner.
