The ideal candidate will act as a trusted partner to the executive, managing schedules, communications, meetings, and confidential matters while ensuring smooth day-to-day executive operations.1. Key Responsibilities:Manage the Executive’s calendar, appointments, meetings, and travel arrangements to ensure optimal time management and efficiency.Coordinate and prepare meeting agendas, presentations, reports, and minutes, ensuring timely distribution and follow-up.Handle incoming communications, including emails, phone calls, and correspondence on behalf of the Executive.Act as the primary liaison between the Executive and internal as well as external stakeholders.Maintain and organize confidential documents, records, and files with the highest level of discretion.Monitor action items and follow up on key initiatives, projects, and executive decisions to ensure timely completion.Coordinate executive leadership meetings, board meetings, and corporate events.Prepare professional reports, presentations, and business correspondence with accuracy and attention to detail.Support project coordination activities and assist in tracking milestones and deadlines.Exercise sound judgment and maintain strict confidentiality when handling sensitive business information.Anticipate the Executive’s needs and proactively provide administrative and operational support.Ensure smooth day-to-day executive office operations while maintaining a professional and positive working environment.2. Qualifications & Experience:Diploma in Executive Secretary or bachelor's degree in English Language and Translation or a related field.Minimum 5 years of experience in Executive Assistant, Executive Secretary, or similar administrative roles supporting senior executives.Excellent verbal and written communication skills in English.Strong organizational, multitasking, and time-management abilities.High level of professionalism, integrity, and confidentiality.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Ability to work independently and manage multiple priorities in a fast-paced environment.
