Position OverviewThe Senior Expeditor plays a critical role within the company's energy supply chain and project execution framework. This position is responsible for monitoring, coordinating, and accelerating the procurement and delivery of materials, equipment, and services to ensure project timelines are met without compromise. The Senior Expeditor serves as the central point of contact between vendors, procurement teams, project managers, and site operations, ensuring all parties remain aligned on delivery commitments and that any risks to schedule are identified and resolved proactively. This is a high impact, high visibility role suited for a seasoned supply chain or procurement professional who thrives in fast paced, complex project environments within the energy, oil and gas, or industrial construction sectors.Key ResponsibilitiesExpediting and Vendor CoordinationMonitor and track the status of all outstanding purchase orders from award through final delivery, ensuring all milestones are met on scheduleConduct regular follow up communications with suppliers and vendors via phone, email, and on site visits to verify production progress and shipping readinessIdentify, escalate, and resolve delivery risks, delays, and non conformances before they impact project schedulesCoordinate with freight forwarders, logistics providers, and customs brokers to manage domestic and international shipmentsReview and validate vendor delivery commitments against contractual obligations and project requirementsIssue expediting reports and status updates to project managers, procurement leads, and site supervisors on a regular cadenceDrive accountability with vendors through clear communication, documentation, and escalation protocolsProcurement SupportCollaborate with the procurement team to support the preparation and issuance of purchase orders and requests for quotationReview technical requisitions and purchase order documents to ensure completeness and accuracy prior to issuanceAssist in the evaluation of vendor performance, maintaining records of on time delivery rates, quality issues, and communication responsivenessSupport the development and maintenance of an approved vendor list specific to energy sector materials and equipmentCoordinate with engineering and project teams to understand material specifications, lead times, and criticality to scheduleDocumentation and ReportingMaintain accurate and up to date expediting logs, delivery registers, and material tracking databasesPrepare and distribute weekly expediting status reports for all active projectsDocument all vendor communications, commitments, and deviations in the project management and procurement systemsSupport the preparation of project closeout documentation related to materials and equipment deliveryEnsure all material certifications, inspection reports, and compliance documents are received and filed prior to or at the time of deliveryCross Functional CollaborationAct as a liaison between vendors, procurement, project management, engineering, logistics, and site teams to ensure seamless material flowParticipate in project kickoff meetings, schedule reviews, and procurement strategy sessionsCommunicate proactively with project managers and site supervisors regarding upcoming deliveries, potential shortfalls, and mitigation strategiesSupport the negotiation of recovery plans with vendors when delivery schedules are at riskWork closely with warehouse and receiving teams to coordinate inbound material receipt, inspection, and storageContinuous ImprovementIdentify recurring supply chain issues and recommend process improvements to reduce risk and improve delivery performanceContribute to the development and refinement of expediting procedures, templates, and best practicesMentor and provide guidance to junior expeditors and procurement coordinators as neededStay current on industry trends, market conditions, and supplier landscape relevant to the energy sectorQualificationsRequiredMinimum of 5 to 7 years of expediting experience within the energy, oil and gas, industrial construction, or heavy equipment sectorsDemonstrated experience managing high volume purchase orders and complex multi vendor supply chainsStrong understanding of procurement processes, purchase order management, and vendor contract administrationProven ability to manage competing priorities and meet tight deadlines in a project driven environmentExceptional communication and negotiation skills, both written and verbalHigh proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams) and ERP or procurement management systems (SAP, Oracle, Maximo, or equivalent)Strong analytical and problem solving skills with a high attention to detailAbility to work independently and collaboratively in a cross functional team environmentPreferredPost secondary education in Supply Chain Management, Business Administration, Engineering Technology, or a related fieldSupply Chain Management Professional (SCMP) designation or equivalent certification is considered a strong assetExperience working on major capital projects (MCPs) or turnaround and maintenance projects in the energy sectorFamiliarity with INCOTERMS, import/export regulations, and cross border shipping requirementsExperience with material tracking and document control in a project management environmentKnowledge of Alberta and Canadian regulatory requirements related to materials and equipment procurement
