This role covers general office administration, enforcement of office policies, and support to the Country Manager in business operations and reporting. The ideal candidate is well-organised, proactive, and able to manage multiple responsibilities in a fast-paced environment.Work Arrangement: Fully On-site

What You'll Do

Office Administration & OperationsOversee day-to-day office operations to maintain a productive and organised work environmentManage office facilities, supplies, equipment, and vendor relationshipsImplement and enforce office policies, procedures, and guidelinesCoordinate office maintenance, security, and workplace safety requirementsHandle administrative functions including mail, documentation, scheduling, and office eventsPlan and organise weekly tea breaks, festive celebrations, and other office activitiesOversee monthly replenishment of pantry supplies and ensure adequate stock levelsProcurement & Asset ManagementManage procurement of office supplies and equipment including sourcing, quotation, and allocationMaintain records of office assets including collection, transfer, and disposalEmployee Support & Compliance ManagementEnsure employees adhere to company guidelines, office rules, and operational SOPsServe as the point of contact for staff on office-related mattersSupport onboarding of new employees including workspace setup and orientationManage offboarding process for departing staffBusiness Travel & AccommodationCoordinate business travel logistics including flight and hotel bookings for local and regional membersNegotiate and secure corporate rates with hotels and travel vendorsAct as PIC for employee hostel arrangementsLiaise with agents and landlords for tenancy management and maintenance mattersSupport to Country ManagerAssist the Country Manager in general business operations, administrative follow-ups, and cross-department coordinationPrepare periodic operational reports, business review documents, and performance summariesSupport in reviewing business performance data and presentationsWhat We're Looking For:Minimum of 5 years of experience in office administration or executive assistant rolesStrong organisational and multitasking skillsProficient in Microsoft Office (Word, Excel, PowerPoint)Good communication skills in English and Mandarin as you need to communicate with Chinese stakeholdersProactive, detail-oriented, and able to work independentlyExperience with AI tools in daily work is a plus
